The real problem was that my AI had no memory. Every conversation started from zero, so everything it produced sounded like anyone, not like me.

Here’s what fixed it. I built what I call an AI Business OS, using Claude Cowork, Google Drive, and Obsidian, and its whole job is to add my voice, my stories, and my identity on top of everything AI produces, so the output sounds like me instead of sounding generic.

When it’s set up right, that system keeps growing.

It logs new calls. It files new wins. It folds new questions and answers back into itself.

It gets sharper over time instead of going stale the way a one-time notes dump does.

That living memory is the foundation. On top of it, I built a team.

I didn’t hire anyone. I built thirteen AI roles, each with one job, a name, and a schedule, and every one of them pulls from that same memory so nothing they write ever sounds off, generic, or out of date.

The memory and the roles make the difference.

The One Who Runs the Day

Her name is Biz Bestie, and she’s basically my chief of staff. Every weekday at 6am she reads my calendar and my inbox and posts a morning brief before I’ve had coffee. Two Power Blocks get scheduled automatically.

On Wednesdays she runs the session that turns the week’s research into our actual content topic.

The lesson here isn’t “get a bot to check your email.” It’s that someone (or something) needs to own the handoff between all the other roles, or you end up with ten smart tools that never talk to each other.

The Content Team

This is where most coaches lose their week, so I gave it five separate roles instead of one overwhelmed one.

Sammy builds a full week of Substack content, five Notes and an article, sequenced for send times, every Monday morning.

Nellie drafts the newsletter from that week’s actual community conversation, never a made-up topic, and stops at the draft.

Violet writes a week of video scripts, one YouTube and three Reels, a full week ahead of filming.

Charlie turns the week’s core belief into quote cards and Facebook posts.

Stella batches the community posts so Monday doesn’t start with a blank page.

Every one of them pulls from the same source: one weekly topic, broken into what I call a Belief Table. That’s the whole trick. Thirteen roles sound like chaos until you realize they’re all reading from the same page.

The Growth Team

Roxy scans newsletters, YouTube trends, and competitor launches every Wednesday morning and hands one clean research summary to Biz Bestie, no invented findings, just what’s actually happening in my space.

Lola builds the entire promo package the moment I confirm a training topic, landing page through post-launch note.

Polly finds podcasts that genuinely fit, writes the pitch, and preps me for the interview.

Amy builds ad strategy and copy, and can even stage a campaign in Meta Ads Manager, always paused, always waiting on me.

None of them send anything. None of them post anything. They build, and I approve.

The Business Team

Rex watches my pipeline and tags every lead hot, warm, or cold, then flags anyone who’s gone quiet for 48 hours.

CeCe sends me a session recap within 24 hours of every coaching call and a prep brief before the next one.

Maya reviews revenue across every platform I use once a month and flags anomalies the day they happen. She’s read-only. She reports on the money, she never moves it.

Every single role on this team is built the same way: research, draft, flag, or prep, and then stop. Nobody sends the email. Nobody hits publish. Nobody launches the ad. The AI does the thinking work that used to eat my mornings, and I still make every call that actually matters.

That’s what “AI team” means to me now. Not a chatbot I ask questions. Thirteen specific jobs, each with a name, a schedule, and one clear boundary around what it’s not allowed to do.

The System at a Glance

That’s the shape of it. Here’s the actual build, in case you want to copy it.

The Belief Table. Every Wednesday, Roxy’s research and a live planning session with Biz Bestie produce one document: a table of the core beliefs I want to reinforce that week.

All thirteen roles read from that same table before they write anything. Nobody works from their own idea of what’s on topic. They all open the same page.

The schedule. Each role fires at a specific time for a specific reason, never a guess. Biz Bestie runs first, 6am weekdays, because everything else depends on the day being organized.

The content roles fire Monday morning once the Belief Table is set. Roxy fires ahead of the Wednesday planning session so there’s fresh research to plan with.

Every time slot exists because something upstream needs to finish first.

The prompt architecture. This is what keeps Sammy, Charlie, and Stella from stepping on each other.

Each one has a narrow job description (Sammy writes Substack, Charlie writes quote cards and Facebook, Stella writes the community posts) and one rule: pull from the Belief Table, never invent a belief of your own.

Same source, different output. That’s what keeps thirteen roles from turning into thirteen different opinions.

That’s the whole system. One shared memory, a schedule built around dependencies, and narrow roles that never freelance.

Last month I opened one of my Claude Project files to make a quick update.

Same file I use for my business. My offers. My ideal client. The words I never want AI to use.

I sat there editing it by hand. Again.

That’s when it hit me.

The problem wasn’t that Claude forgot. I had already given it my project files. The problem was that those files never updated themselves. Every time my business changed, I had to go find the right file and rewrite it myself.

So the files kept falling behind. Static. Frozen the day I wrote them.

Here’s the shift I made: I stopped editing the files myself. I started telling Claude to update them for me.

Now my project files are not static documents I have to babysit. They are living, working documents that update as my business does.

A Chat is Not a System

A chat is a conversation. A system is something that remembers.

Even uploading a few files to a Claude Project is a snapshot, not a system. It’s true the day you build it. Then your offer changes, or your voice sharpens, or you land on a new way of describing your ideal client, and the file just sits there, quietly going stale, because nothing is updating it.

I didn’t need a smarter assistant. I needed a place for what I already know to actually live, somewhere Claude could go back to, add to, and grow, instead of a folder of notes I had to remember to update myself.

The “Goldfish” Problem: Why AI Always Forgets You

Every time you open a new chat with an AI, you are essentially meeting a stranger. Even if you spent hours the day before explaining your business goals, your unique writing style, or your specific customer base, the moment that chat window closes, the AI “resets to zero.” This forces a frustrating cycle where you have to re-explain the same details every single time you want to get work done.

Many people believe the answer is “better prompting”—writing more detailed instructions at the start of every session. However, as a curriculum architect, I can tell you this isn’t a “talking” problem; it is a memory problem. You can write the perfect prompt every day for a year, but without a persistent cognitive infrastructure to hold that information, the AI will never truly know you.

The Reality Check Traditional AI chats have no long-term memory. The moment a session ends, the AI forgets your voice, your offers, and your clients. You are stuck in a loop of starting over, which means the AI never actually becomes a true partner in your work.

Instead of endlessly refining how we talk to a stranger, we must build a permanent “home” for your information—a system that allows your business knowledge to live and grow outside of a single chat window.

Photograph vs. Living Document: The Two Ways to Teach AI

When most people try to give an AI information, they “upload” a file. While this helps in the moment, it creates a static snapshot of your business. If your business changes or your voice sharpens, that snapshot becomes stale immediately.

To build a truly persistent memory, we must move from the concept of a “photograph” to a “living document.” We achieve this by connecting the AI directly to a Google Drive folder. We use Google Drive on purpose: it isn’t about being fancy; it’s about riding on top of a habit you already have. Unlike complex apps like Obsidian that require learning a new language, your business already lives in Drive.

The “living document” sounds like a dream, but it requires four specific structural pillars to keep it from collapsing into digital clutter.

The Four Pillars of the Living Brain Loop

To build a scalable system, we must treat your AI’s memory as a piece of professional architecture. This “Living Brain” is supported by four core pillars:

1. The Folder (The Filing Cabinet): This is a specific folder in Google Drive synced to your computer. It is the physical home for your knowledge. Because it is a real folder on your drive, your information never evaporates when a chat ends.

2. The Brain (The Knowledge): These are five core files written in plain language that define your identity, voice, ideal clients, offers, and competition. This is your “source of truth.”

3. The Connection (The Doorway): This is Claude Desktop. Instead of a one-time upload, this creates a “door” that stays open. Claude reaches into the filing cabinet to read and write exactly like a human employee would.

4. The Conductor (The Handbook): This is a single file called CLAUDE.md. This is the first thing the AI reads every single time. It acts as an employee handbook, telling the AI exactly where every other file lives and how to use the information properly.

These four pillars work in a continuous cycle, turning your scattered notes into a compounding business asset.

How the Loop Moves: Read, Respond, and Write Back

The power of this system lies in its operational cycle. It isn’t just about the AI reading your files; it’s about the AI contributing back to your knowledge architecture. The process follows a simple, repeatable loop:

• Step 1: Read. Every time you start a conversation, the AI reads the Conductor (CLAUDE.md) first to understand the map of your business. Then, it reads the specific “Brain” files it needs for the task.

• Step 2: Respond. The AI answers your questions or completes tasks using your established voice and offers. It starts at “100” instead of starting at “zero.”

• Step 3: Write Back. When a new story, a client win, or a business decision emerges during your chat, the AI saves that information back into your folder.

The Power of the “Write Back” Phase This is the part that makes the system “smarter” over time. Instead of value “leaking away” when a chat ends, the AI records the details in your permanent folders. The next time you open a chat, the AI already knows what you decided yesterday.

This abstract loop is reflected in the actual files that live on your computer in your Business OS.

The Brain Map: A Look Inside Your New Folders

Your “Business OS” is organized into a clear hierarchy. This structure ensures that you, your team, and your AI can always find the “source of truth.”

• The Navigators (System Management)

  • CLAUDE.md: The conductor file the AI reads first to understand its instructions.

  • index.md: A map of every file in the folder so nothing gets lost.

  • log.md: A running history of every change or addition made to the system.

• The Core Knowledge (The Brain Folder)

  • identity.md: Who you are and what your business stands for.

  • brand-voice.md: The specific way you communicate and sound.

  • ideal-client.md: A detailed profile of exactly who you serve.

  • programs-and-offers.md: The specific products or services you provide.

  • competitive-landscape.md: An overview of your market and peers.

• The Growth Files (New Information)

  • Sources/: A place for raw materials like transcripts and old docs that the AI can reference.

  • Stories/: Important anecdotes and examples to be used in future content.

  • Wins/: A record of client successes and business milestones.

  • Decisions/: A log of choices you’ve made so you don’t have to rethink them later.

Why This Changes Everything

The real breakthrough isn’t a better prompt or a smarter document.

It’s creating a living AI Brain that grows alongside your business.

Instead of starting from scratch every time you open Claude, your AI is connected to the same files you already use every day in Google Drive. It can read them, update them, and build on them over time. Every conversation makes your system a little smarter instead of disappearing when the chat ends.

Last week a client showed me her Claude conversation history. Sixty chats, every single one named “New Chat.” She was typing full formal messages every time, starting from zero every time, and losing good ideas inside a pile she could never search again.

Without projects, every chat starts from nothing. With projects, Claude already knows who you are and what you’re working on.

Try this today: Pick the one part of your business that lives in the most scattered chats right now. Start one project for it.

Rename your conversations

“New Chat” tells you nothing three weeks from now. A renamed chat like “Ladies in the Lou sales page” or “August newsletter draft” means you can find it again in five seconds instead of scrolling through fifty chats trying to remember what you called it.

This one habit is the difference between Claude feeling like a filing cabinet and Claude feeling like a pile of sticky notes on the floor.

When I first started my Substack, I would stare at a blank screen every week wondering what to write.

Not because I didn’t have ideas. I had plenty. But turning a rough idea into a polished article, plus notes to go with it, plus something worth reading on a Tuesday morning felt like a whole second job.

So I built a system that does most of the heavy lifting for me. And it starts with one rough idea and ends with a full week of content, stored, organized, and ready to go.

Here’s exactly how it works.

Step 1: I start with a rough idea, not a perfect one

I don’t sit down and try to write. I sit down and think out loud.

It might be something I noticed in a client call. A question someone asked in my Skool community. A frustration I had with a tool that week. A small win I wanted to share.

It doesn’t have to be polished. It just has to be real.

That rough idea is the only input my system needs.

Step 2: I hand it to my Substack skill in Claude

I have a custom skill inside Claude that I built specifically for my Substack. When I give it a rough idea, it knows my voice, my audience, my content pillars, and what I’m trying to do.

I don’t prompt it from scratch every time. I just say here’s my idea, and it goes to work.

What comes out the other side:

• A full Substack article, written in my voice, ready to review and refine

• Five to seven Substack Notes built from the same idea, each one a standalone post

• A daily posting rhythm so I know exactly what goes out and when

One idea. One session. A full week of content, done.

Step 3: I review, refine, and make it mine

AI does not publish for me. I read everything, adjust what doesn’t sound right, and make sure it actually sounds like me talking to you, not like a tool trying to sound like me.

This part usually takes twenty minutes, maybe thirty.

That’s it. The rest of my week I spend time engaging with real humans on the app.

Step 4: Everything goes straight to Notion

Here’s the part that changed everything for me.

Once the content is ready, it gets pushed directly into my Notion content bank. Every article. Every note. Organized, labeled, and waiting.

That means I am never scrambling. On a busy week when I don’t have time to create, I go to Notion and pull from what’s already there. On a slow week, I get ahead and build up a buffer.

I have a running bank of content ideas, half-formed thoughts, and finished pieces that are ready to go at any time. When inspiration hits at 6am, I add it. When a client says something brilliant on a call, I add it. It all goes into one place so nothing gets lost in a saved folder or a sticky note that disappears.

This is the difference between content that happens when you feel like it and content that runs like a system.

But none of this works without the backend

Here’s something I don’t see talked about enough.

The content system only does its job if your Substack is set up properly underneath it. And most people skip that part.

Your publication name, your About page, your welcome email, your subscriber settings are not just administrative boxes to check. They are the first impression every new reader gets. A weak About page loses subscribers before they even read your first post. A missing welcome email means people sign up and never hear from you again.

The backend of Substack is where trust gets built before you’ve written a single word of content.

Getting it right at the start means every piece of content you create actually lands with someone who is set up to stick around. Skip it and you’re filling a leaky bucket.

The problem most people have with content isn’t a lack of ideas. It’s the gap between the idea and the finished thing.

AI closes that gap. Not by replacing your thinking, but by amplifying your message.

I grew from zero to 200 Substack subscribers in my first month using this system. Not because I posted more than everyone else. Because I had a system that made it easy to show up consistently, with content that actually sounded like me, without it taking over my week.

A few weeks ago I sat down and asked Claude one question.

“What recurring tasks do you see me doing manually in the last 30 days?”

It came back with 23 things. Twenty-three tasks I was doing myself, every single week, that I had convinced myself were just part of running a business.

They weren’t. They were just things nobody else had been assigned to do.

That list became the job descriptions for my AI team.

Step 1 — Audit your business before you build anything

Most people start with tools. I want you to start with data.

Connect Claude to your Gmail and Google Calendar. Both. Then paste this prompt:

“Look at my Gmail and Google Calendar from the last 30 days. What recurring tasks, manual work, and bottlenecks do you see happening? Be specific — tell me what you actually see, not general advice.”

Read the full output before you do anything else.

This is Stage 1 of building your AI team — and it’s the step most people skip. They jump straight to prompts and tools without ever stopping to ask: what does my business actually need handled?

The audit tells you. Let it.

Step 2 — Stop using AI as a tool. Start using it as a team.

Here’s the reason AI keeps falling off your workflow: no structure.

You open it, type something, get an answer, close it. Tomorrow you start from scratch.

That’s not a system. That’s hoping.

A team works differently. Each member has a name, a role, and a job description. They know what to do when you call on them — and eventually, they run without you calling at all.

Inside my business, I have a chief of staff named Biz Bestie. She pulls my calendar, scans my inbox, and delivers a brief every morning before I open a single app.

I have Roxy — my research analyst. She reads AI newsletters and surfaces only what’s actually relevant to my audience. I don’t read every newsletter anymore. She does.

I have Violet for YouTube scripts. Lola for social content. Sammy for Substack strategy.

None of them are separate tools. They all live inside Claude. Each one has a skill file — basically a job description written in plain language — that tells them exactly what to do, what the output looks like, and how to hand off to the next person.

Step 3 — Write your first skill file

A skill file is not complicated. It is a set of instructions. That’s it.

Here’s a starter prompt to write your first one — build your chief of staff:

“Based on the task list we just built, I want to create an HR manager who oversees my entire AI team. Give her a first name and a title. Describe her personality and how she speaks. List the AI team members she would eventually manage with one line each describing what they do. Then write a short org chart showing how the team is structured.”

Read what comes back. Adjust it. Have a conversation with it. This is supposed to feel like you’re actually hiring someone, because in a sense you are.

When the description feels right, ask Claude to write the full skill file using the /skill-creator skill. Then download it as a Markdown file and install it in your Claude skills.

That’s your first hire.

Step 4 — Schedule the work with Cowork

Writing a skill file gets your team member on paper. Cowork puts them on the clock.

Inside the Claude desktop app, click Cowork, then Scheduled. This is where you tell your team members when to show up and what to do — without you typing a single prompt.

My Roxy task fires every Monday at 5 AM. She scans my newsletters, pulls the most relevant AI news, and passes it to Biz Bestie by 5:45 so my morning brief is ready when I wake up.

I did not do that this morning. Roxy did.

One task setup. Every Monday. Already running.

The thing nobody tells you about building an AI team

It needs refinement — just like a real hire.

You set up the skill file and the first output won’t be perfect. That’s not failure. That’s onboarding. You go back, adjust the instructions, re-download, re-upload. You do this two or three times and then it clicks.

The entrepreneurs who stick with this process end up with a business that genuinely runs without them holding every piece together.

The ones who quit after the first imperfect output stay exactly where they are.

Here is something I’ve been noticing.

A coach opens Claude. She types out a request for a social media post or an email. She gets back something that is technically fine but sounds nothing like her. So she rewrites it. Then she wonders why AI is supposed to save time when it just created more work.

Here is what is actually happening and why it is not her fault.

Claude does not know who you are

Every time you open a new chat with Claude, it starts completely fresh. It has no idea what your business is called. It does not know what you sell, how you talk, who your audience is, or what your offers sound like. Every single conversation starts at zero.

So when you ask Claude to write something for your business, it does the best it can with no information. It fills in the blanks with the most generic, average version of whatever you asked for. That is not bad AI. That is AI without a foundation.

The entrepreneurs who get results that sound like them are not using better prompts. They built a foundation first.

That foundation is called a Claude Ecosystem. And most people have never heard of it.

What a Claude Ecosystem is made of

There are three pieces. Once you understand all three, the whole thing clicks.

Piece 1: Claude Projects

Claude has a feature called Projects. Think of it like a dedicated workspace for your business inside Claude. Unlike a regular chat, which disappears and resets every time, a Project holds information permanently.

When you create a Project for your business, you can upload documents into it. Those documents stay there. Every chat you start inside your Project begins with Claude already having access to everything you put in.

That is where everything changes.

Piece 2: AI Brain Files

The documents you upload to your Project are called AI Brain files. These are five specific files that teach Claude everything it needs to know about your business.

Here is what each one covers:

Brain File 1, Brand Voice: How you sound, what words you use, what you never say, and the personality behind your content. Claude uses this to write in your tone instead of a generic one.

Brain File 2, Ideal Client: Not just who she is but the exact language she uses to describe her own problem. What she has tried. What she is afraid of. What she really wants. This is what makes Claude write for your actual audience.

Brain File 3, Offers and Programs: Every product or service you sell, with the name, price, core promise, and who it is for. Claude needs this to write about your offers without inventing details.

Brain File 4, Identity and Positioning: Your story, your background, your credibility, what makes you different from everyone else in your space. This is what Claude pulls from when it writes your bio or positions you as the expert.

Brain File 5, Content Themes: The topics you cover, how they connect to your offers, and what you want to be known for. This stops Claude from going off-topic.

You build these five files once. You upload them to your Project. From that point on, Claude knows your business before you type a single word.

Piece 3: Claude Skills

Once your Brain is in place, you add Skills. A Skill is a special instruction file that gives Claude a specific job to do, with a built-in structure and a step-by-step process.

For example, a Landing Page Builder Skill tells Claude to walk through your sales page section by section, pulling from your Brain files as it goes. Every output is already in your voice, about your actual offers, speaking to your real audience.

Skills are what turn your Brain from a static document into an active system.

The exact four-step setup

Here is how to build your Claude Ecosystem from scratch. The whole setup takes one focused sitting, about 60 to 90 minutes. After that it runs in the background every time you use Claude.

Everything below, the Brain Builder Skill, the five Brain files it generates, and the bonus Marketing Skills pack, is included inside the course Set Up Your Claude Ecosystem. The course walks you through each step with a video so you can see exactly what to do.

Step 1: Run the Build Your Brain interview

The Build Your Brain interview is a Skill that comes inside the course. You install it in Claude, open a new chat, and run it. Claude then interviews you about your business, one question at a time, covering your voice, your offers, your ideal client, your story, and your content themes.

When the interview is complete, Claude generates all five Brain files for you automatically. You review them, make any edits you want, and save them.

This is the part most people skip when they try to set this up on their own. They attempt to write the files from scratch, get overwhelmed, and quit. The Brain Builder does the hard part for you.

Step 2: Create a Claude Project and upload your Brain files

Go to Claude. In the left sidebar, click Projects. Create a new Project and give it your business name.

Once your Project exists, open it and upload all five Brain files. They stay in your Project permanently.

From this point forward, every chat you start inside your Project will have Claude automatically reading those five files before you type anything. You never have to re-explain your business again.

One thing to know: this only works inside your Project. If you open a regular Claude chat outside the Project, the Brain files are not there. Claude starts at zero again. Always work inside your Project. Bookmark it. Make it your default.

Step 3: Install your bonus Marketing Skills

The course includes four Marketing Skills as a bonus pack. These are instruction files that give Claude a specific, structured job to do. You install them once and they are available every time you need them.

Here is how to install each one. Open Claude and go to Settings. Find the Skills tab. Click Add Skill. Upload the file. That is it. Four clicks and about five minutes per Skill.

Step 4: Open a new chat inside your Project and run a Skill

Once everything is installed, this is your new workflow.

Open Claude. Click into your Project. Start a new chat. Tell Claude which Skill you want to run. Answer its questions. Get a finished draft that sounds like you.

You are not prompting from scratch. You are not explaining your business. You are not rewriting generic output. You are running a structured process that already knows who you are.

The one mistake that breaks the whole system

People complete the setup and then open a regular Claude chat out of habit. They type their request, get generic output, and think the system did not work.

The system worked fine. They just went outside the Project.

Always start inside your Project. The Brain files only load when you are inside it. That is where your version of Claude lives.

I just got back from Social Media Marketing World and honestly, I expected to leave with a list of new tools and a head full of prompts. What I didn’t expect was for the biggest takeaway to be about being more human.

Here’s what kept coming up, in session after session: 68% of people share content on social media to feel seen. Not to learn. Not to buy. To feel understood.

Because if that’s true, and I believe it is, then the biggest mistake most of us are making isn’t that our content is too short, or not optimized, or not consistent enough. It’s that it doesn’t feel like us.

And AI, for all the incredible things it can do, will absolutely make that problem worse if you don’t get this part right first.

It’s a connection crisis. Not a content crisis.

There is more content out there than any human being could ever consume. AI helps us produce faster, but faster isn’t the answer if what we’re producing doesn’t give people a reason to stop scrolling and feel something.

So before anything else, before the agents, the automations, the content flywheel, we have to get clear on who we are. What makes us different. What stories are ours and only ours.

Molly Mahoney put it in a way I loved: your weird is your superpower.

The thing you’ve been downplaying? The thing that makes you feel a little too much, a little too niche, a little too specific? That’s the thing. That’s what people connect to. And when you train your AI on that, your stories, your voice, your perspective, suddenly AI stops adding to the noise and starts amplifying something worth hearing.

Authority AND vulnerability. Both. At the same time.

Another thing that stuck with me: there are two ends of the trust spectrum. On one end, the pure authority figure: the expert, the polished presenter, the one who always has the answer. People might hear them, but they don’t necessarily trust them.

On the other end, pure vulnerability: sharing everything, all the fails, all the mess. People might like them, but they don’t buy from them either.

The sweet spot is both together. You know your stuff AND you’re a real person. That combination is what makes people trust you enough to actually invest.

This is true whether you’re showing up live, writing emails, or building out an AI agent that creates content on your behalf. The agent can only be as human as what you’ve given it.

So where do AI agents fit in?

Right here is where I want to be really clear, because I think this is where a lot of people get it backwards.

You don’t build an AI team to replace your voice. You build one so your voice can reach more people without burning you out.

I spent about two hours this past weekend building out my AI Dream Team inside Claude. Here’s who I hired:

• Biz Bestie — my Chief of Staff, runs the daily brief and keeps everyone organized

• Suzy — Socials Director, handles a full week of posts every Monday

• Ellie — Email Specialist, builds the weekly newsletter and manages Substack

• Remy — Repurposer, takes every training and podcast and turns it into a content package

• Amy — Ad Specialist, builds complete Facebook/Instagram campaigns with copy and visuals

• CeCe — Coaching Manager, processes session transcripts and creates client recap PDFs

• Stella — Skool Manager, handles community recap posts and engagement

• Lola — Launch Manager, creates landing pages, social assets, and email sequences for every offer

• Maya — Money Manager, pulls Stripe and PayPal and gives me a clean monthly financial summary

Each one is a skill inside Claude. Each one runs in the background while I’m doing other things.

But here’s what I told everyone on the call: you can’t hire for a position you don’t understand.

Before you build any agent, you need to know what that agent is supposed to do. That means sitting down and actually logging what you do in your business every week. What are your recurring tasks? What are you doing every Monday, every Thursday, every month?

You don’t have to have it all figured out. But you do have to know enough to give the agent real direction.

Volume is not the strategy.

Your audience doesn’t need more content. They need more of you.

The coaches who are standing out right now are using AI to amplify their voice — not replace it. They’re using it to think faster, create cleaner, and show up more consistently. But every piece of content still sounds like a human being with a real point of view.

That’s the line. And it’s easier to cross than you think.

So what does “staying human” actually look like in practice?

It looks like feeding AI your real stories before you ask it to write anything.

It looks like using your own frameworks and language as the starting point — not a generic prompt.

It looks like reading what comes back and asking yourself: “Would I actually say this?” If the answer is no, you rewrite it until it sounds like you walked into the room and said it out loud.

AI should make you sound more like you. Not less.

THE OTHER BIG SHIFT — BUILDING A TEAM

The second thing that came up again and again at SMMW was this idea of AI agents.

Not just using AI as a tool you open when you need something. But building a system — a team — that runs in the background of your business.

Think about what it would mean to have a Social Media Manager, an Email Specialist, a Launch Manager, and a Content Repurposer all working for you.

Now imagine they never sleep. Never forget your brand voice. Never need to be onboarded twice.

That’s what Claude makes possible.

Inside my own business, I’ve built exactly this. I have AI team members with names, roles, and skill sets. Each one knows my voice, my offers, my content calendar, and how I like things done.

And the whole thing runs inside Claude — no code, no complicated tech stack, no hiring.
