In today’s tutorial, we’ll be answering the question from Mohamed. The question is “How do I filter a database in Google Sheets based on dates, checkboxes, and dropdown selections?”

The actual problem is he has a list of cars. He wants t filter out everything that is outside of the start date and end date. I'm not sure if these are particularly the date of sale or date of creation. There is a little bit of interesting thing you can do with dates.

Two particular problems

There are two particular problems here. He's asking for a car type Nissan only or Nissan and Toyota. In order to solve this challenge, there are a few ways to deal with this. It's just a little complicated question because the answers are vastly different. I'm going to get through this as best I can with the information I have. It’s absolutely understandable if this is not the correct answer.

The very first thing I'm going to do is I'm going to create a list of cars with these kinds of data. I'm now going to show you how to set this up.

Setting up the database function

The first thing we have is a database.

He's asking for a database function where you have the table of raw data. You see everything, including the bar above that you can filter.

First, have to have a database on a separate tab so that you can filter. I've created that tab. I've also created IDs so we know what we're getting.

We're getting some other information other than just the type and the country. I've added Mexico here and some other countries. These are totally random.

I don't know if this is a data sale or date of purchase or anything else, but we had some random dates here.

Now let’s go to the “Filter” tab; Type the following formula:

=filter(DB!A2:D16,DB!A2:A16>0)

We’re going to get everything for this formula to work. We need to filter something. We want everything under the ID column.

For the part with 0, that's going to need to be the same thing. Basically, it needs to look at the exact same range, so your database and your filter need to be the same thing there or you'll get an error.

We have everything we need now. Don’t forget to put the headers, like ID, Date, Type, and Country.

Hello, Better Sheet members and non-Better Sheet members! This tutorial is about every locale listed in Google Sheets.

If you live in a country that is not well represented with blog posts or someone makes a blog post about a Google Sheets issue, they create a Google Sheet formula and then you copy and paste it into your sheet and it has the wrong delimiter. How do you resolve that?

I'm going to show you how you can fix that and how you can know if there's a problem.

Locales. What are they in Google Sheets?

In the sheet, go up to File > Settings. The locale will be there.

You'll have settings for this sheet and there’s all these locations that you can choose from.

Most of the time, most of the people watching this video are going to have United States.

Time zone doesn't really matter for this particular video, but let me just to show you what it probably looks like.

For this tutorial, let’s go with Eastern Time – Toronto.

Hit “Save and Reload” button. Your sheet should reload.

I wrote a little script and it should execute. Once it opens, A1 will show me what the locale code is. That’s what these are in column A.

How do you discover your locale code using Google Sheets?

If you do want to discover what your locale code is, you can do it two ways:

First: Go to File > Settings and just look at what the country is under “Locale.”

In our tutorial, it shows “United States.”

It should show in the Country column, which is B.

Second way: You can use the Apps Script that I created.

What this does is every time this sheet opens, it will find the locale, which is:

SpreadsheetApp.getActiveSpreadsheet().getSpreadsheetLocale()

And then it’ll set that value in A1.

Delimiters and errors in Google Sheets

So what happens is when a country is in a certain location, a few things are different. Inside of the formula, the separation between options or items is going to be a either a comma or a semicolon.

The default date is going to change, too. It could be month, date , year or date, month, year. It could even be year, month, date.

The decimals will be different (period or comma), and also the thousands separators (comma, period, space, and even apostrophe).

If you are in a different country that has a different delimiter inside of your formulas and you need to make sure you change those commas to semicolons or vice versa, how do you know which is which?

You can go to File > Settings and look at what the country is under “Locale”, like what I showed you before.

Or you might just know that’s a different string there with a different delimiter. You might see that error.

Getting the correct formula

So here I created a way for you to change this.

Let’s say you want to first check, but you don't want to have to go through this whole list of 72 countries and different languages.

What do you do?

If you want to check if there is a difference between Argentina and Switzerland, you’ll find out that yes, you need to change something.

I will now show you this set of cells that allows you to put in the formula you have (i.e. semicolon) and then you’ll get a new formula.

We use the substitute formula to revert all the semicolons to commas or vice versa.

It's important to keep in mind that while conditional formatting can be a useful tool, it should be used in a meaningful way that supports the data analysis and not just for the sake of using it.

Let's go a bit deeper.

Conditional Formatting May Get Too Complex

Conditional formatting can become complex when trying to apply multiple rules or nested conditions. This can make it difficult to understand and manage the formatting rules. One of my favorite things to do with conditional formatting is to go beyond the clickable options and use the Custom Formula section to create conditional formatting. But for some this can be overwhelming. And for those who might have to manage your sheets after you've left an organization can be daunting to change, or update.

Your Sheets' Performance Could Degrade

When working with large datasets, conditional formatting can slow down the performance of the sheet. This is because the rules are constantly being reapplied as the data is updated.

And it's reapplied each and every time you edit a cell. The entire conditional formatting rule will check. Even with a few thousand rows, perhaps well under 1 million cells, you'll see the progress bar appear for condional formatting.

While a sheet technically has a 10,000,000 cell limit, the performance of your sheets along with Conditional formatting will degrade far before that limit is reached.

Conditional Formatting has Limited Options

While conditional formatting is useful for highlighting certain data, it may not be suitable for more advanced data visualization needs. There may be limited options for customizing the formatting or styling.

“What exactly is a good use case for 1-celled Google Sheets?”

Chris, a Better Sheets member asked this question when I presented to members “Tiny Sheets” The google Sheet add-on that lets you create a 1 cell sheet.

This is an amazing question!

I’ve been using 1-cell sheets for a while now. And I use 1 column sheets too. Or 2 column sheets. So here are the reasons I use it and can imagine you can use little, tiny, small sheets too.

Simple Container

One common use case for a single-celled Google Sheet is as a simple container for storing a single piece of data, such as an API key or a singular setting. By naming the sheet and accessing it through Apps Script, it can be a quick and easy way to keep track of important information that you need to reference frequently.

And can be easy to create named ranges.

Create Lists

Another use case for a small number of cells in a Google Sheet is as a simple list or drop-down menu. You can create a one-column sheet to create a list of items that you can use in a drop-down menu in other parts of your spreadsheet.

Dashboards Starter

When you're creating a dashboard, you know you only want to show what's in the viewport. If you've done this enough, you know it's faster to build up from nothing, or 1 cell. Than it is to delete all the unnecessary rows and columns.

Setup for Zapier

If you gather data into a Google Spreadsheet from a 3rd party automation program such as Zapier, you’ll sometimes need to just set up the headers and not the data of a sheet.

As part of a Zap the automation will create a new row. So it’s better in fact to have no rows. Or rather 1 single row of headers and then let the automation add each row of data as needed.

Vlookup List

Similarly, a two-column sheet can be used as a mini-database for vlookup, making it easy to find and retrieve specific information.

Starting Point

Another possible use for small sheets is as a starting point for a larger project. Some users find it easier to start with a small sheet and then build out as needed, rather than having to delete rows and columns each time they create a new sheet. This can be particularly useful when working with a team, as it makes it easier to share the sheet and collaborate on its development.

Spectrum of Options

More broadly there is a lot of points along the way from 1 cell to 26,000 cells. A new sheet will usually have 26 columns and 1,000 rows. That’s 26,000 cells. But between that point and a single cell there is a wide array of options. I just have the belief that you shouldn’t have to start at 26,000 and go down. Going from 1 cell to many might be easier for some use cases.

In conclusion, while a single-celled sheet may not be the most immediately useful tool, it can be a useful starting point for a variety of projects. And there some unique use cases for it.

And I see this same issue in Google Sheets.

The possibilities are endless

I get emails every week, almost every day asking “is this possible in Google Sheets?” The answer is always yes. But that’s not what people are actually asking. They want to know how to do the thing they are trying to do. But here are a few things stopping them.

Their thing is actually many things. Many steps. Many user inputs and then… and then… something happens automatically.

Ah, the word “automatically” I see this word throw around a lot, and I cover it in my new course: spreadsheet Automation 101. There’s so many flavors of “Automatically” that it could be the baskin robbins of spreadsheets.

I don’t know if there are actually 31 different variations but there might be.

A few variations: show something, based on user interaction. Show something based on user input. Do something every day. Do something every week. Do something at one time and then never again. That’s 5 right there.

But back to what’s possible in Google Sheets.

Anything is possible. But not everything.

You can usually get something done, that you want done, in Google Sheets, but it comes with caveats. Comes with a tax.

Google Sheets are a blank slate.

It’s just like ripping out a never-ending sheet of paper from your notebook and writing on it. Jotting down numbers,rows,columns, and then being able to save, erase, and rip up that paper. And then add functions to that paper. And then mail it to your coworker instantly in another state, another country, and they can write on that, and add to it. And erase and delete anything.

That paper can be big, can be small.

That paper can be hooked up to a data stream.

That paper can be saved, copied, and shared easily and quickly.

Can I not share Sheets?

One more thing people ask me if it’s possible to do: not share.

I always think to myself: But you’re using Google Sheets. Beyond html it’s the mightiest sharable program on the internet. Literally the best thing since the invention of javascript.

Here’s the thing: It IS possible to use Google Sheets and not share.
But the moment you share with one person, poof! There goes your sheet.

It’s just like literally everything else on the internet. Photos, Video, Text, Ideas. You share them.. They are shared.

Sure you can “unshare” a sheet.

But you can’t have the immense portability and share-ability of Google Sheets, share a sheet and then expect that someone else can’t / won’t share.

I’m sure someone will be able to solve this.

I’ve tried to with OnlySheets. That helps you not share a sheet you didn’t intend to share. It adds viewers to a sheet once they’ve paid, and no one else. But still that sheet is shared with that person and that person can make a copy. You can of course turn off that feature in your own sheet. That’s possible.

But you cut off saving, downloading.. Editing. The collaborative-ness of sheets.

You can share or not share.
You can’t share AND not share.

That is, until someone creates DRM for sheets. Which I’m actively working on.

But still no matter what if you do end up sharing and they can only access the sheet and nobody else.. Then you’re probably better off printing a book. Which even a book can be (and is) copied, a lot.

Sharing is a Google Sheet super power

Why do you want to take that away? Why not be collaborative, share what you can, with whom you can.

...Is this possible in Sheets?

Yes

the answer is always yes.

You may have to write some complicated/complex formulas.

You might have to write Apps Script.

You might have to use a feature.

You might have to do some, not all of what you're trying to do.

So you might have a column for name or title, and another column for website (a URL).
