Step 2: Rebuild Your Saved Prompts

Your refined prompts are probably your most valuable asset, and they’re easy to carry over. Open that chat.html from your export and skim for the prompts you reuse, the ones you’ve copy-pasted a hundred times.

In Claude, create a simple document (or a note in a Claude Project) titled “My Prompt Library” and paste them in, grouped by purpose: writing, analysis, customer replies, research. They work in Claude as-is. You may lightly tweak a few, but a good prompt is a good prompt, and it transfers across tools without rewriting.

Step 3: Move Your Custom Instructions into a Project

This is where Claude actually pulls ahead. In ChatGPT, your custom instructions were one global setting applied to everything. In Claude, the equivalent, and an upgrade, is a Project.

This sounds like the hard part and is actually the most satisfying. Each custom GPT you built is, underneath, just a system prompt plus some context. A Claude Project is the natural home for exactly that.

For each GPT you genuinely use, create a matching Claude Project. Give it a clear name, then write its instructions: what it does, how it should respond, any reference material it needs. If you have the original GPT’s instructions, paste them straight in. If not, you remember what it did, so describe that to Claude and let it help you draft the Project instructions.

Don’t recreate all twenty GPTs. Recreate the three or four you actually open every week. The long tail you built once and forgot can stay in ChatGPT, untouched, for the rare day you want them.

Step 5: Do a Confidence Test Before You Commit

Don’t declare the migration done until you’ve run one real task. Open your main Claude Project and give it something from your actual work, the kind of request you’d normally fire at ChatGPT.

In your system prompt: Be explicit about format. “Default to short, scannable answers with bullet points. Only go long when I ask for a full draft.”

Such approaches are harder to scale. That is not a reason to avoid them.

Institutional training should include participatory, dialogic, and creative elements. Programs should be evaluated against participation metrics, not just completion rates. Did participants contribute their own knowledge? Were their concerns incorporated into institutional responses? If the answer to both is no, the program is delivering information. It is not building understanding.

AI GOVERNANCE MUST CREATE SPACE FOR PUBLIC VOICE

The current conversation is dominated by technology companies and governments. Publics are positioned as recipients, never as participants. Governance bodies should adopt participatory formats that bring diverse publics in as contributors with relevant knowledge.

CREATIVE APPROACHES MUST BE RECOGNIZED AS LEGITIMATE

Poetry, games, theater, and participatory arts are methodologies with established evidence bases. Funders should treat creative engagement as a core component of AI research, not as outreach conducted after the real work is done.

PARTICIPATORY ENGAGEMENT SHOULD BE REQUIRED

The infrastructure for meaningful public engagement with complex science exists. It has been developed, tested, and refined over forty years. What is missing is the institutional will to apply it.

Right now, there is an extension in your browser with permissions you approved six months ago and have not thought about since. It can see your tabs, read your pages, and interact with your AI assistant.

Last year, one just like it hijacked Google’s Gemini.

The extension looked completely normal in the toolbar. The permissions seemed normal in the settings. The user had no indication anything was wrong, because from the browser’s perspective, nothing was.

But in reality, the extension escalated privileges, accessed the Gemini console, and from there it could reach the user’s webcam, microphone, and screen. It could take screenshots of anything open in the browser, run queries, and pull data out.

The extension had permission to be there. It was doing what extensions do. And the fact that it was weaponized did not trigger a single warning.

AI AGENTS GET YOUR ACCESS, NOT YOUR JUDGMENT

When you ask an AI agent to do something, the agent takes on your identity. Your roles, your permissions, your access to every system and dataset tied to your account.

The agent does not request temporary credentials. It does not operate in a sandbox. It acts as you, and every action it takes in that application is logged as your action.

One executive asked an AI-powered browser to analyze his best-performing LinkedIn post, identify what resonated, and draft a follow-up. The agent handled the entire sequence: pulled the analytics, studied the engagement patterns, composed the post, and sat ready to publish one click away from going live under his name.

There was no confirmation step. No summary. No review. The agent finished the task and was one click away from posting on his behalf before he caught it.

That was a low-stakes LinkedIn post. Now imagine the same pattern with a financial document, a client email, or a legal filing. The agent has the same level of access in every scenario. The only thing that changes is the consequence.

YOUR PROMPTS ARE NOT PRIVATE

Once you hit enter, that prompt is not yours anymore. It is in the provider’s servers, possibly helping train the model or appearing in logs. Their house, their rules.

In February 2026, a federal judge ruled for the first time that documents drafted using Claude were not protected by attorney-client privilege, partly because the privacy policy permits disclosure of user inputs to government authorities.

Every time someone types a client name, a contract detail, a revenue number, or a legal strategy into a consumer AI tool, they are making a decision about where that information lives going forward.

Most people do not think of the prompt window as a disclosure event. But it is.

THE LOGS SAY YOU DID IT

When your agent pulls data, sends an email, or downloads a file, it is logged as you. There is no separate label for “this was the AI.”

If something happens that you did not intend, the record still points to you. Your credentials were used. Your permissions made it possible. And proving after the fact that it was not you is a problem most people have not even started to think about.

A financial services company’s AI chatbot was manipulated into pulling a customer’s financial records and emailing them out. The system followed the instructions it was given.

This kind of attack used to require expert-level skill. Now it is something anyone can attempt with a prompt.

AI made reconnaissance faster, payloads automatic, and exploitation a copy-paste exercise. What used to take real expertise can now be done with tools people already use every day.

THE JOB DESCRIPTION YOUR AI NEVER GOT

When a person takes on a role, the job comes with scope. There are boundaries, expectations, and someone reviewing the output.

AI does not get that by default. Skip the parameters and you have invited chaos to the team.

Your AI needs a job description: defined scope, clear boundaries, and a human accountable for the outcome.

Five questions every team should answer before Monday:

Which AI tools is your team approved to use, and which are off-limits?

What categories of data should never enter a prompt? Client names, financial records, legal strategy, credentials.

Which AI-driven actions require a human to review the output before it is sent, published, or submitted?

Who is responsible for auditing what the AI accessed or produced?

What is the response plan if sensitive data gets shared with an AI tool by mistake?

Here are five things you can check and secure today:

AUDIT YOUR BROWSER EXTENSIONS

Go to your extensions and audit what is installed and what permissions each one has. If you installed it six months ago and forgot about it, remove it. Standard permissions cover more access than most people realize.

DO NOT LET AI HIT SEND

Before you hand your inbox and calendar keys to an AI agent, picture the moment it acts without asking. If there is no confirmation step, no way to revoke the action, and no visibility into what the agent accessed after the fact, that connection is a liability. Keep a human in the loop between the agent’s action and the final result.

TREAT PROMPTS LIKE POSTCARDS

Treat every consumer AI prompt window like a postcard, not a sealed envelope. If you are typing client names, financial details, legal questions, or proprietary strategy, that information can be stored, used for training, or disclosed. Read the terms of service for the AI tools you use daily.

SEPARATE YOUR BROWSER PROFILES

Set up a separate browser profile for work. Keep work-related AI agent activity in one profile and your banking, saved passwords, and personal browsing in another. A compromised extension in one profile does not automatically have access to everything in the other.

TEST YOUR AI’S VULNERABILITIES

Run your own prompt injection test. Have someone send you an email with a hidden instruction buried inside normal text. Point your AI at the email and see whether it follows the hidden instruction or flags it. A single test like this gives you a clearer picture of your security than anything you can read.

The AI visual tools landscape is genuinely overwhelming. New tools launch weekly. Most of them overlap. The value of this guide is not the list, it is the matching. Knowing that Kling AI is for image-to-video while LTX Studio is for match cuts saves you hours of trial-and-error with the wrong tool.

For small businesses specifically, my recommendation is to start with Midjourney for images and Kling AI for video. Those two tools cover 80% of what most SMBs need for their visual content. Add Adobe Firefly if you are running paid ads. Everything else is optional until you have a specific need.

Instead of writing a vague sentence like ‘make me a product video’ and hoping for the best, JSON prompting lets you specify exactly what you want: camera angles, lighting conditions, movement speed, framing, sound design, colour grading, every detail that a professional video director would control on set. Except you are typing it into a text box and getting results in minutes.

I spent 48 hours testing this method and the results are genuinely surprising. The output looks like something you would see in a paid ad on Instagram or a product launch video on a brand’s website. Here is exactly how to set it up for your business.

What You Need Before Starting

A ChatGPT account (free tier works, but paid gives better JSON output). Access to Google Flow with Google Veo 3 (Google’s AI video generator). A clear idea of what you want to advertise, a product, a service, a website, an app.

No video editing skills required. No camera. No lighting equipment. No production crew. The entire process happens in two browser tabs.

What Is JSON Prompting and Why Does It Matter?

When you type a normal prompt into an AI video tool, something like ‘create a promotional video for my coffee shop’ the AI has to guess everything. What angle? What lighting? What mood? How fast should the camera move? What sounds should play? The result is generic because your instruction was generic.

JSON prompting removes the guessing. JSON is a structured data format that lets you define every element of your video in precise, organised blocks. Think of it like handing a film director a detailed shot list instead of saying ‘just make something nice.’

Here is what a JSON prompt controls that a regular text prompt cannot:

• Camera movement: slow dolly in, orbit, static, handheld shake, crane shot

• Framing: close-up, medium shot, wide establishing shot, overhead

• Lighting: golden hour, studio softbox, dramatic side-light, neon

• Sound effects: ambient cafe noise, cinematic whoosh, subtle music swell

• Colour grading: warm tones, cool corporate blue, vintage film look

• Timing: exactly how long each scene lasts

You do not need to write this JSON yourself. That is what ChatGPT is for.

Step 1: Ask ChatGPT to Write Your JSON Prompt

Open ChatGPT. Tell it what video you want to create, and ask it to output the instructions as a JSON prompt for an AI video generator.

For example: ‘I own a dental practice called Bright Smiles. Write a JSON prompt for an AI video generator to create a 15-second promotional ad. Show a clean, modern waiting room, then a close-up of a patient smiling, then our logo with the tagline Book Your Free Consultation Today. Make it feel warm, professional, and trustworthy.’

ChatGPT will return a structured JSON block that specifies every detail: the camera starts with a slow dolly through the waiting room, cuts to a medium close-up of a smiling face with soft natural lighting, then fades to your logo with a subtle music swell. Every scene has defined duration, framing, lighting, and transitions.

You can then review the JSON and tweak any detail. Want the lighting warmer? Change the lighting field. Want a different camera angle? Update the framing. It is all readable and editable, even if you have never touched code before.

Step 2: Generate the Video with Google Veo 3

Go to Google Flow (Google’s AI creative studio). Find the Veo 3 video generator. Paste your entire JSON prompt into the prompt box.

One important tip: select the ‘fast’ rendering option. It uses fewer credits and for most promotional videos, the quality difference between fast and standard is negligible. Save your credits for when you need maximum quality on a hero video.

Click generate. In a few minutes, you have a complete video advertisement ready to download.

Step 3: Review, Tweak, and Deploy

Watch the output. If a scene does not look right, go back to your JSON, adjust that specific scene’s parameters, and regenerate. Because the prompt is structured, you can fix one scene without affecting the rest.

Once you are happy, download the video and post it: Instagram Reels, TikTok, Facebook Ads, your website hero section, YouTube pre-roll, LinkedIn video posts. One JSON prompt, one generation, every platform covered.

Why This Matters for Your Business

Professional video advertising used to require three things small businesses rarely have: a production budget ($2,000-10,000 per ad), production time (weeks of planning, shooting, editing), and production expertise (camera operators, editors, sound designers).

What You Need Before Starting

A computer with a terminal (Mac Terminal or Windows PowerShell). A Claude Pro subscription ($20/month). VS Code or any code editor (free). No prior coding or video editing experience.

That last point matters. This isn’t a tutorial for developers. This is a business owner’s guide to creating professional promo videos without hiring anyone.

Step 1: Install Claude Code

Go to the Claude Quickstart website (you can find it by searching ‘Claude Code quickstart’). Copy the installation command they provide, it’s one line of code. Open your terminal and paste it in. Claude Code installs itself.

If you’ve never used a terminal before: on Mac, search for ‘Terminal’ in Spotlight. On Windows, search for ‘PowerShell’. Paste the command. Press Enter. That’s it.

Claude Code is different from regular Claude chat. Regular Claude answers questions. Claude Code actually builds things, it writes code, creates files, and produces real output on your computer. Think of it as the difference between asking someone for directions versus having them drive you there.

Step 2: Set Up Remotion

Remotion is a tool that creates videos using code instead of timeline editors. You don’t need to understand the code, Claude Code writes it for you. You just need to install it.

Go to Remotion.dev. Find their getting-started command (it’s a short piece of code on their homepage). Copy it.

Open Claude Code in VS Code (or your terminal) and paste that command. Claude Code sets up Remotion automatically, all the files, all the dependencies, everything.

Step 3: Prompt Claude Code to Create Your Video

This is where it gets interesting. With Remotion set up, you simply tell Claude Code what video you want. In plain English.

For example: ‘Create a 30-second promotional video for my website [yoursite.com]. Include animated text showing our three main services, smooth transitions between sections, our logo in the corner, and a call-to-action at the end that says Book a Free Consultation. Use a professional colour scheme.’

Claude Code reads your website, extracts the relevant content, writes the Remotion code, and produces the video. You can throw in your logo file and it’ll incorporate it. You can specify colours, fonts, animation styles.

You are still prompting every single time.

Every task, you write the context again. Every request, you explain who you are again. Every project, you re-describe the process again.

There is a better way. It is called Skills.

WHAT SKILLS ACTUALLY ARE

Skills are instructions that live inside your AI.

Think of them as a very long context plus instructions, permanently installed. You build them once. You trigger them with a slash command — /linkedin or /brief or /contract.

You do not prompt. You command.

The difference matters. Here is why:

Context files need you to say “read my file first” every time.

Projects need you to open the right project before starting.

But Skills fire automatically. Claude recognizes the task from what you type and activates the right Skill on its own. You do not invoke a Skill. It invokes itself.

That is the level most people have not reached yet.

THE LEVELS OF AI USAGE

There are levels to this:

Level 1: Free AI chat. Basic prompting.

Level 2: Paid AI with advanced thinking. Better results.

Level 3: Projects with context files. Reusable instructions.

Level 4: Skills with slash commands. Automatic activation.

Level 5: Team-wide Skills shared across your organization.

Most people are stuck at Level 2 or 3. They have not packaged their processes into Skills yet.

HOW TO BUILD YOUR FIRST SKILL

You have two options:

OPTION 1: USE CLAUDE’S SKILL CREATOR

Claude has a built-in Skill creator. You describe the task. It interviews you. It generates everything.

Step 1: Open Claude. Type: “Use the skill-creator to help me build a skill for [your task].”

Step 2: Answer the interview questions. Be specific. Be honest. The more detail you give, the better the Skill performs.

Step 3: Claude generates the folder structure and SKILL.md file with your trigger command and instructions.

Step 4: Claude runs an evaluation. This is the step most people skip. Do not skip it. Test the Skill before installing.

Step 5: Save and install. Go to Settings → Capabilities → Skills → Upload.

Now you can use that Skill anywhere with a slash command.

OPTION 2: BUILD FROM YOUR PAST CONVERSATIONS

Do not start from scratch. You have been giving Claude instructions for months. Those past prompts already contain your process. You just need to package them.

Find a conversation where you explained a task well.

Refine and install.

THE HACKS NOBODY MENTIONS

After testing extensively, here are the tricks that matter:

THE DEBUGGING TRICK

Your Skill does not work and you do not know why. Ask Claude: “When would you use the [skill-name] skill?”

Claude quotes the description back to you word for word. You instantly see what is missing, vague, or not matching your request.

Fastest fix for any broken Skill.

NEGATIVE TRIGGERS MATTER MORE

The “Do NOT use for...” line in your description is more important than the “Use when...” line. It prevents your Skill from hijacking conversations it should not touch.

Define what the Skill is not for. That is what makes it precise.

SKILLS STACK WITH YOUR VOICE FILE

Your about-me.md tells Claude who you are. Your Skill tells Claude how to do the job. They fire together simultaneously.

So your LinkedIn Post Skill does not need your voice rules inside it. The Skill handles process. The voice file handles tone. Two layers working together.

BUILD SKILLS FROM FAILURES

When Claude gets something wrong, do not just fix it. Turn the fix into a Skill rule.

“Never start with a question.”

“Always include a specific example.”

“Do not use bullet points in the opening.”

Your failures become your best instructions.

This week, identify one task you explain to AI repeatedly.

Package it into a Skill:

What is the trigger? (/linkedin, /brief, /email)

What are the instructions?

Install it. Test it. Refine it.

Your AI summary kept the conclusion. It deleted the doubt.

Every long document has a sentence the author spent more time on than any other. It is rarely in the executive summary. It is buried deep in the document, hedged with qualifiers, surrounded by safer claims.

The sentence that says: this might not work.

Or: we do not have evidence for this.

Or: there are significant concerns.

The skill that matters most in reading is not speed. It is knowing where the author hid the honest part.

AI summaries delete it every time.

THE RESEARCH IS CLEAR

A 2025 study published in PNAS Nexus found that people who learned from AI summaries developed shallower knowledge than those who searched the web themselves.

Across seven experiments with over 10,000 participants, the pattern held: advice written after using AI summaries was shorter, less factual, and more similar across users. The people who used summaries felt less invested in forming their own view.

The explanation is straightforward. When AI removes the effort of gathering and synthesizing sources, the mental work that cements understanding never happens.

You get the answer. You skip the understanding.

WHAT DEEP READING ACTUALLY DOES

Maryanne Wolf has studied this for a decade. Deep reading activates cognitive processes that skimming does not: connecting new information with background knowledge, forming analogies, building the basis for inference and deduction.

Deep reading fosters empathy, imagination, critical thinking, and self-reflection.

These are not optional extras. They are the mechanisms through which reading produces understanding.

Skimming erodes them over time. The person who skims does not just miss information. They lose the capacity to process it.

Wolf argues that this shift leaves people susceptible to false information, retreating into familiar silos of unchecked information.

AI summaries are industrial-strength skimming. They deliver conclusions without context, findings without hedging, answers without the questions that produced them.

ACCURATE SUMMARIES STILL FLATTEN MEANING

The problem is not only that summaries are inaccurate though research shows 45% of AI-generated news summaries contain at least one significant error.

The deeper problem is that accurate summaries still lose what matters.

A summary can reproduce every fact and still delete:

The doubt.

The qualification.

The sentence the author spent longest writing because it was the hardest to get right.

The sentence that resists summarization because it contains the thinking, not just the thought.

THE TRANSFER OF JUDGMENT

Most professionals now read AI summaries more often than they read original documents.

In meetings, in inboxes, in research, the summary arrives first and the source arrives never.

Each time this happens, a small transfer occurs: from your judgment to the model’s selection. The model decides what matters. You accept the decision.

Over time, this transfer compounds. You lose the skill of finding the buried sentence. You lose the capacity to evaluate what the summary excluded. You become dependent on AI’s judgment because your own judgment has atrophied.

THE QUESTION

The question is not whether to use AI summaries. You will. They are useful. They are not going away.

The question is whether you use them as a starting point or an ending point.

Right now, for most people, the summary is the ending point. The document never gets opened. The hedging never gets read. The buried sentence stays buried.

THE STARTING POINT APPROACH

Here is how to use AI summaries without losing your reading capacity:

1. USE THE SUMMARY TO ORIENT, NOT CONCLUDE

Let the summary tell you what the document is about. Do not let it tell you what to think about the document.

2. IDENTIFY WHAT THE SUMMARY CANNOT CONTAIN

What doubts does the author have? What qualifications? What did they struggle with? These never survive summarization. They must be found in the original.

3. FIND THE BURIED SENTENCE

Every document has one. The sentence the author spent the most time on. Usually hedged. Usually buried. Usually the most important thing in the document. Train yourself to find it.

4. READ THE PARTS THAT RESIST SUMMARY

Nuance, doubt, qualification, tension between competing ideas these are the parts that matter most and summarize worst. Seek them out.

5. FORM YOUR VIEW BEFORE ACCEPTING AI’S VIEW

What do you think after reading? Not what does the summary say what do you conclude? Make the mental effort that cements understanding.

THE CAPACITY QUESTION

Reading capacity is like any capacity: use it or lose it.

Every time you let AI read for you, you skip the mental work that builds understanding. Every time you accept the summary without opening the source, you transfer a small piece of your judgment to the model.

The individual instance seems harmless. The pattern is not.

The people who will navigate the AI age well are not those who read the most summaries. They are those who know when to read past the summary. Who can still find the buried sentence. Who maintain the reading capacity that AI summaries quietly erode.

Let AI create the first draft, analysis, or output. This is the efficiency gain.

2. STUDY WHAT IT PRODUCED

Do not just format and deliver. Actually engage with the content. Read it as if you would be tested on it.

3. QUESTION EVERYTHING

Why this? Why not that? What is the basis? What could be wrong?

4. MAKE IT YOUR OWN

Revise. Add your perspective. Integrate your knowledge. The final version should reflect your understanding, not just AI’s output.

5. TEST YOURSELF

Before delivery, explain it out loud without looking. If you cannot, go back to step 2.

The company bought the best AI tools available.

Enterprise licenses across the entire organization. Full deployment to every department. Comprehensive training programs for all employees. Executive dashboards tracking adoption metrics.

By every measure of AI adoption, they were succeeding.

Six months later, nothing had changed.

Productivity was the same. Outcomes were the same. Revenue was the same. The problems they had before AI were still the problems they had after.

They had AI tools everywhere and results nowhere.

The problem was not the tools. The tools were excellent.

The problem was there was no strategy.

THE ADOPTION TRAP

Here is what happened:

Someone decided the company needed an “AI strategy.”

That decision got interpreted as “we need to adopt AI tools.”

So they bought tools. Trained people. Tracked adoption. Celebrated deployment.

But nobody asked the fundamental questions:

What problem are we solving?

What outcome do we need?

How will we measure success?

What will actually change?

They had adopted AI without knowing why.

This is not unusual. It is the norm.

Most “AI strategies” are actually just AI adoption plans. Buy tools. Train users. Deploy broadly. Call it transformation.

But adoption is not strategy. Adoption is procurement with training.

Strategy requires knowing what you are trying to achieve.

THE TOOL-FIRST TRAP

Tool-first thinking goes like this:

“AI is powerful and important.”

“We should be using AI.”

“Let us buy AI tools and train people.”

“Once we have AI, good things will happen.”

This logic is backwards.

Tools do not create outcomes. Tools serve outcomes. A hammer does not create the house. A plan creates the house. The hammer serves the plan.

When you start with tools, you end up with solutions looking for problems. Capabilities looking for applications. Investments looking for returns.

You get AI everywhere and results nowhere.

THE STRATEGY-FIRST APPROACH

Here is what actually works:

1. START WITH THE PROBLEM

Not “how do we use AI?” but “what business problem needs solving?”

Be specific. “Improve productivity” is not specific. “Reduce time spent on monthly reporting from 40 hours to 10 hours” is specific.

The problem should exist independent of any tool. It should matter whether AI exists or not.

2. DEFINE THE OUTCOME

What does success look like? How will you measure it?

“We will use AI more” is not an outcome. “Monthly reports completed in 10 hours instead of 40” is an outcome.

The outcome should be measurable. You should be able to tell whether you achieved it.

3. UNDERSTAND THE CURRENT STATE

How does this process work today? Where are the bottlenecks? What is the root cause of the problem?

You cannot design a solution without understanding the current reality. Jumping to tools skips this critical step.

4. DESIGN THE SOLUTION

What needs to change to achieve the outcome? Processes? Decisions? Information flows? Behaviors?

The solution is not “use AI.” The solution is the specific changes that will produce the outcome. AI might be part of those changes. Or it might not.

5. THEN SELECT TOOLS

Only now: What tools would help implement this solution?

Maybe AI is the right tool. Maybe it is better software. Maybe it is process redesign. Maybe it is hiring. The tool serves the solution which serves the outcome.

THE STRATEGY TEST

Here is a simple test:

Remove AI from the equation.

Can you still articulate what you are trying to achieve?

Can you describe the problem you are solving?

Can you define what success looks like?

If yes, you have a strategy that AI might help with.

If no, you have tool adoption without direction. You have a solution without a problem.

THE ROI QUESTION

When AI investments do not deliver ROI, the problem is usually not the AI.

The problem is that there was never a clear connection between the investment and a measurable outcome.

“We invested in AI” is not connected to an outcome.

“We invested in AI to reduce reporting time by 75%, saving 120 hours per month across the finance team” is connected to an outcome.

The first cannot demonstrate ROI because it was never tied to a specific return.

The second can demonstrate ROI because the expected return was defined upfront.

No strategy, no measurable outcome. No measurable outcome, no demonstrable ROI.

WHAT GOOD LOOKS LIKE

Here is what a real AI strategy looks like:

PROBLEM

Our sales team spends 15 hours per week on proposal writing. This limits capacity and creates inconsistency.

OUTCOME

Reduce proposal writing time to 5 hours per week while maintaining or improving quality.

CURRENT STATE

Proposals are written from scratch each time. No templates. No knowledge base. High variance in quality.

SOLUTION

Create proposal templates. Build a knowledge base of winning proposals. Standardize the process.

TOOLS

AI can help generate first drafts from templates and knowledge base. Human review and customization remains.

MEASUREMENT

Track hours per proposal. Track win rates. Compare before and after.

What specific problem is it solving?

What measurable outcome is it driving?

How will you know if it succeeded?

If you cannot answer these questions, you have tools without strategy.

Define the strategy first. Then evaluate whether the tools serve it.

The AI tool is not the strategy.

The strategy is the strategy.
