Before You Copy Anything: One Important Rule

Please don’t copy these templates word-for-word and send the exact same message to 100 people.

The template gives you the structure.

You should personalize:

[Name]
[Company]
[Position]
[Your expertise]
[Relevant achievement]

Two personalized sentences can make the difference between a message that looks automated and one that feels genuine.

German hiring communication generally rewards something very simple:

Clarity. Relevance. Professionalism.

You don’t need a dramatic message.

You need to make it easy for the other person to understand:

Who are you? Why are you contacting me? What do you want me to do next?

Let’s start.

TEMPLATE 1: The Recruiter Message After Applying

When to use it

You’ve found a genuinely suitable position, submitted your application, and identified the recruiter or talent-acquisition person responsible for that company.

Don’t send:

Hi, I applied. Please check my CV.

Give them a reason to care.

Copy this:

Hi [Name],

I recently applied for the [Job Title] position at [Company] and wanted to briefly introduce myself.

I have [X years] of experience in [specialisation], particularly across [Skill 1], [Skill 2] and [Skill 3].

The role caught my attention because of [specific responsibility/project/technology from the job description], which closely aligns with my experience in [relevant experience].

💡 The trick

Mention one thing from the actual vacancy.

Not:

“Your company is amazing.”

Instead:

“I was particularly interested in the API platform modernisation mentioned in the role.”

That immediately shows this isn’t mass outreach.

TEMPLATE 2: Asking an Employee for a Referral — Without Sounding Awkward

Referral requests fail because people often ask complete strangers:

“Hi, can you refer me?”

Put yourself in their position.

Would you recommend someone you know absolutely nothing about?

Probably not.

Better first message:

Hi [Name],

I came across your profile while researching [Company] and noticed that you’re working in [team/domain].

I’m currently exploring [target role] opportunities in Germany and have experience in [short expertise].

I noticed an opening for [Job Title] that seems closely aligned with my background.

Before applying, I wanted to ask whether you happen to know anything about the team or what they’re particularly looking for in this role.

If they respond positively

Then you can say:

Thank you — that’s really helpful.

The position looks very relevant to my experience in [X] and [Y], so I’m planning to apply.

If your company has an employee referral programme and you feel my background could be relevant, I’d be grateful if you would consider referring me. Absolutely no pressure if you don’t feel comfortable doing so.

💡 Why this works

You aren’t treating the person like a referral machine.

You’re starting a professional conversation.

TEMPLATE 3: The “I Need Visa Sponsorship” Message

This one matters especially if you’re applying from India or another non-EU country.

You should be transparent about your work-authorisation situation but don’t make immigration the headline of your professional identity.

Your opening pitch should be:

Here’s the value I bring.

Not:

Here’s the visa I need.

When a recruiter asks about work authorisation

I’m currently based in [Country] and would require the appropriate German work/residence authorisation to relocate. I’m fully open to relocation and happy to provide the documentation needed for the process.

Then move the conversation back to your professional value.

During an interview

You can say:

Yes, I would require immigration support for the appropriate work authorisation. I’ve already researched the process and documentation, so I’m prepared to move forward efficiently if we decide there’s a mutual fit.

💡 Small but important distinction

Don’t claim:

“I qualify for an EU Blue Card.”

unless you’ve actually checked that your eventual contract, salary, qualification and circumstances meet the current requirements.

Say:

“I would require the appropriate work authorisation.”

Professional and accurate.

TEMPLATE 4: Follow-Up After Applying And Hearing Nothing

You’ve applied.

Seven or ten days pass.

Nothing.

Should you follow up?

For a position you genuinely care about: yes, once.

Email:

Subject: Follow-up - [Job Title] Application | [Your Name]

Dear [Name],

I hope you’re doing well.

I submitted my application for the [Job Title] position on [Date] and wanted to briefly follow up regarding the status of the recruitment process.

TEMPLATE 5: The “I Don’t See a Vacancy, But I Want to Work Here” Application

There’s a German word worth learning:

Initiativbewerbung.

Essentially: a speculative application.

You like the company, but there’s no perfect vacancy right now.

Instead of forgetting about them, approach them.

Template:

Subject: Initiativbewerbung - [Your Profession/Specialisation]

Dear [Hiring Team/Name],

I’ve been following [Company], particularly your work in [specific area/product/project], and wanted to reach out even though I haven’t currently found an advertised position that exactly matches my profile.

I’m a [role] with [X years] of experience in [specialisation], including [2–3 important skills].

In my current/recent position, I [one quantified or concrete achievement].

Given [Company’s project/growth/product], I believe my background could potentially be relevant to your [department/team].

💡 Don’t send speculative applications everywhere.

Choose companies where you can answer:

“Why this company?”

If you can’t answer that in one sentence, don’t send it.

TEMPLATE 6: Answering “What Are Your Salary Expectations?”

This question makes many international applicants nervous.

Don’t immediately say:

“Anything is okay.”

That can weaken your positioning.

And don’t throw out a random number because someone on Instagram said €80K is a “good German salary.”

Research:

• responsibilities

• current market range

If you know your range

Based on the responsibilities of the role, my experience and my understanding of the German market, I’m currently considering a gross annual salary in the range of €[X]–€[Y]. However, I’m open to discussing the overall package and responsibilities.

If HR asks very early

I’d first like to understand the scope and expectations of the position in a little more detail. Based on my initial understanding, however, I would expect something around €[X]–€[Y] gross annually, depending on the overall package.

Discuss salaries as gross annual salary — Bruttojahresgehalt unless the employer specifies otherwise.

Don’t negotiate using your desired monthly net salary.

Your net depends on individual circumstances.

TEMPLATE 7: Thank-You Message After an Interview

You don’t need to write an essay.

A short message can reinforce interest.

Template:

Subject: Thank you , [Position] Interview

Dear [Name],

Thank you for today’s conversation regarding the [Position] role.

I particularly enjoyed learning more about [specific project/team/problem discussed].

Our conversation strengthened my interest in the opportunity, especially because my experience in [X] could contribute to [specific requirement discussed during interview].

TEMPLATE 10: Reconnecting With a Recruiter Months Later

This is one of the most underused job-search strategies.

Maybe a recruiter contacted you six months ago.

Maybe you interviewed but didn’t get the job.

Maybe they told you:

“We’ll keep your profile on file.”

Don’t disappear forever.

Template:

Hi [Name],

I hope you’ve been well.

We connected previously regarding [role/company], and I wanted to get back in touch as I’m currently exploring new opportunities in Germany.

Recruiters’ vacancies change constantly.

The recruiter who had nothing suitable for you in March might have exactly your role in August.

Your network should not reset to zero every month.

But a system is more useful.

Before sending any application, spend 15 minutes doing this:

Minute 1–3: Check the basics

• Is the role actually relevant to your experience?

• Is German mandatory?

• Does the employer appear open to international candidates?

• Is the location realistic?

• Are there work-authorisation restrictions mentioned?

Minute 4–7: Find the keywords

Identify:

• 3 technical/domain skills

Those should appear naturally in your CV/application.

Minute 8–10: Research the company

Know:

• What does it sell?

• Who are its customers?

• Why is it hiring this role?

Adjust:

🇩🇪 A Few Germany-Specific Details People Miss

1. Follow the language of the vacancy

If the entire job advertisement is in German and requires German, sending everything in English without explanation may already tell the employer something.

If the vacancy is in English, English application documents may be appropriate.

Always check the individual advertisement.

2. Certificates can matter

Germany tends to be documentation-heavy.

Depending on the role, keep relevant:

• university certificates

• vocational qualifications

• employment references

• professional certifications

ready.

You don’t necessarily need to attach everything to every application, follow the employer’s instructions.

3. Keep application files professional

Instead of:

CV_final_FINAL2new.pdf

use:

Firstname_Lastname_CV.pdf

and:

Firstname_Lastname_CoverLetter.pdf

It’s a tiny detail.

But professionalism is often built from tiny details.

4. Don’t hide your German level

If you’re A2, write A2.

If you’re B1, write B1.

Don’t write “fluent” when you aren’t.

And don’t write “basic” if you actually have a recognised level.

5. Don’t reject yourself

If you meet most of the core requirements but miss one preferred skill, consider applying.

There’s a difference between:

“German C1 mandatory” when you’re A1

and:

“Experience with Kubernetes preferred” when you’ve worked extensively with adjacent cloud technologies.

Learn to distinguish a genuine blocker from a wish-list item.

🚨 The Template That Does NOT Exist

I deliberately haven’t included:

“Please give me a job.”

Because it doesn’t work.

A recruiter isn’t doing you a favour by hiring you.

A company has a problem.

They need someone capable of solving it.

Your entire job search becomes stronger when you stop communicating:

and start communicating:

When I first moved to Germany, I was excited — new job, new life, and my very own apartment in Europe! 🏠 But when I walked in to view one of the rented apartment for the first time… there was something missing.

No stove. No sink. No kitchen cupboards. Nothing.

Just empty walls staring back at me.

I remember standing there, confused, wondering — “Wait, did they forget to build the kitchen? How am I supposed to cook or use this kitchen? Is this a kitchen even?“

In India, kitchens are an inseparable part of every home. But in Germany, most rented apartments come without a fitted kitchen. That means tenants need to either:

2. Take over the previous tenant’s kitchen (called “Küche übernehmen”).

💡 Pro tip: Always check the apartment listing carefully — if you see the words “Einbauküche (EBK)”, that means the flat already comes with a built-in kitchen!

🏡 Why It’s Done This Way

The reason is practical — many Germans treat kitchens as personal property. When they move, they often take their kitchen with them (yes, literally disassemble it!) to install in their next home. It’s seen as part of your furniture, not the landlord’s responsibility.

🌍 From Shock to Adaptation

At first, it felt like a huge hassle, ofcourse being new comer knowing nothing feels like drowning somewhere — but now I actually appreciate the flexibility. You can design your kitchen exactly how you want it, and even take it with you if you move again.

Germany teaches you to plan ahead, even for something as simple as cooking dinner. 🍝

If you are not ready to install kitchen then I would suggest look for apartment with kitchen that is Ofcourse comes with less hassle.
