Trello’s got a new “widget” cards feature, which is basically an embedded “app” in your Trello boards.

But you can just type /widget and then write your own prompt to see what comes up. I tried using it get to my open github issues, and i also asked it to get all my cards due across my board!

It’s kinda cool, but i’m still trying to figure out exactly where it will be most useful.

I find myself sometimes having multiple cards for the same thing, but with different bits of context. Previously I’d have to copy and paste, but have you seen Trello has a merge feature now?

When you drag a card over another card, you can merge Trello cards.

Back in March I told you I’d been talking to my Trello boards and they were talking back.

At the time, that setup required a little duct tape and still required hopping into a terminal! You had to grab API credentials, connect through unofficial community-built tools, and trust that everything would keep working.

Well, the duct tape and terminal era is over. Trello just shipped an official MCP, which means connecting your boards to AI assistants is now a supported, built-in thing. No API keys, no third-party servers, no “I hope this still works next month.”

Let’s jump in!

Wait, remind me what this even is

MCP stands for Model Context Protocol, but honestly the acronym doesn’t matter. What matters is what it does for you: it lets an AI assistant like Claude or ChatGPT actually see and work with your Trello boards. Not “paste your board into the chat” work with. Actually connected. You ask a question in plain English, and the AI reads your real boards and does real things on them.

In the March edition I walked through what that looked like with Claude Code. Everything I said then still applies:

1. Board summaries. Ask “what’s on my plate this week?” and get an actual answer pulled from your actual cards. Then keep the conversation going. “Which of those is most urgent?” “What did I say in the description of that one?”

2. Annual reviews. I had Claude read through my boards from the whole year and pull together an accomplishments summary. It cross-referenced multiple boards and found stuff I’d completely forgotten I did.

3. Board creation. Talk through a plan with the AI, then say “okay, turn this into a board.” Lists, cards, the whole structure, built from your conversation.

The difference now is that the connection itself is official. Here’s what that gets you.

What’s actually better about the official version

Setup is stupid simple. You add Trello’s MCP server URL (https://mcp.trello.com/v1) to your AI tool of choice, log in with your Trello account in the browser, pick a workspace, and choose what the AI is allowed to do (read, write, or search). That’s it. If you bailed on the March setup because API keys and terminals felt like too much, this is your second chance. It takes about two minutes because you just go to your AI tool’s connectors and you can search Trello:

It works with more than Claude. ChatGPT, Claude, Cursor, VS Code, Gemini CLI. Basically anything that supports MCP, which these days is most of the major AI tools.

You control the permissions. You pick the workspace and you pick the access level. Want an AI that can read your boards but never touch them? Set it to read-only. And here’s the part I love: the official MCP can’t permanently delete anything. It can archive cards and boards, but there’s no “oops, the AI nuked my board” scenario. Whoever designed that made the right call.

It works on every plan. Free, Standard, Premium, all of them. The one exception is creating focus-time events in Planner, which needs Premium or Enterprise.

Pro tip: at launch, each connection is scoped to one workspace. If you live in multiple workspaces, you’ll want to connect your busiest one first. Multi-workspace support should be coming soon.

Some new use case ideas since March

I’ve had a few more months of living with this workflow, so here are ideas beyond the original three:

• The Monday morning triage. Ask your AI to look at your Inbox cards and suggest where they should go. All those half-formed captures from last week get sorted in one conversation instead of twenty drag-and-drops.

• “Where did I put that?” The MCP can search across your boards by keyword. I use this constantly. Somebody mentions a project and instead of clicking through boards trying to remember where I filed it, I just ask.

• Meeting notes to cards. Paste your messy meeting notes into the chat and say “make cards for the action items on my project board.” Done.

• The end-of-week cleanup. “Archive everything in my Done list and give me a quick summary of what I finished this week.” Two chores, one sentence.

• Checklist building. Ask the AI to break a big card into a checklist. It’s weirdly good at thinking of the steps you’d forget.

And one more thing: AI board creation inside Trello

Separate from the MCP, Trello also added AI-generated boards right in the app. Click Create (at the top toolbar no matter where you are in Trello), then Create board with AI, describe what you need, and it builds the whole thing. Lists, cards, checklists, due dates, labels, even card covers and a matching background.

A few things to know: it’s on Standard plans and up (and during free trials), it’s web and desktop only for now, and like everything AI, the more detail you give it, the better the result. “Plan a trip” gets you a generic board. “Plan a 10-day trip to Japan in October with a mix of Tokyo and Kyoto, tracking bookings, packing, and daily itineraries” gets you something you’ll actually use.

So between the MCP and AI board creation, you’ve now got two very different flavors of the same idea. The built-in version is great when you want a board fast and don’t want to leave Trello. The MCP is for when you want an ongoing conversation with your boards, and honestly, that’s the one that changed how I work.

It scores you across the six things that actually determine whether Trello works for you:

The thing I found while building it

Almost everybody stalls at Board Organizer.

Which makes sense, right? Board Organizer feels done. Your boards are clean. You know where things live. Nothing is on fire. There’s no obvious reason to keep going.

But Board Organizer is also the level where you are the engine. Every card moved, every date set, every recurring task retyped from scratch. The board is organized because you keep organizing it. The second you get busy, it rots.

The jump to Workflow Builder is often just one automation away. “The Monday before a card is due, move to my To Do list”. Or “When a card is marked as done, move to another list/board.” And once you write one, you write nine more, because you start noticing every single thing you’ve been doing by hand…. like moving cards between lists, queuing up due dates, checking off checklists, etc.

Most people never write the first one because it’s intimidiating, but I’ve got plenty of content that can walk you through creating your first Trello automation!

What you get at the end

After you complete the quiz, you’ll get a profile across all six areas, a maturity matrix that shows exactly which cell you’re sitting in for each one, and a roadmap that tells you which area to fix first and what the first three moves are.

Pro tip: answer for what you actually do today, not what you’re planning to set up someday. The “someday” version of your Trello setup is not the one you’re living in.

Someone took me up on my offer last week when I said “what Power-Ups do you want” and I was actually able to make it!

The issue they were having was that they needed to update multiple checklist items by hand when the overall deadline changed. So if your project got pushed back a week, they had to manually go move each of the checklist items they wanted to move.

To some extent, you could solve some pieces of this with automation, but they also wanted control over which checklist items shifted and which ones didn’t. So I made a Power-Up for Shifting checklist due dates!

It’s pretty straightforward and does what it says. For each card, just click the Power-Up button to open this modal and adjust as you see fit.

This is another free one, so add it to all your boards and enjoy to your heart’s content!

Last week someone replied to the newsletter asking if there was a way to set up actual recurring cards in Trello. Like, repeated card instances and plotted them in the calendar view, not just adjusted the deadlines.

I didn’t know of anything that did it well. So I looked into it and... built it with the help of my AI friend Claude :)

It’s called Repeating Tasks, and it’s available now in the Trello Power-Up directory.

Here’s the thing about Trello’s built-in recurring card feature: it doesn’t actually create new cards.

What it does is take one card and push the due date forward when you complete it. So if you have a “send weekly report” card, you check it off, the due date bumps to next week, and you’re back to one card. No history. No record. No way to look back and confirm you sent it every week for the last three months.

This actually works perfectly fine for me and is how I tend to prefer my recurring tasks be handled. But someone pointed out, that’s not how recurring things on Google Calendar work, and I’d definitely heard this complaint before so I thought maybe I could make something to work there.

Repeating Tasks works the way Google Calendar does.

You set the recurrence once, and a real card gets created for every occurrence. Daily standup on Monday? You get a card on Monday. And again the following Monday. And the one after that. Each one is its own card. You can check it off, comment on it, assign it, look back at it. The history is actually there.

You can repeat daily, weekly, or monthly at the moment. If you need something else let me know and I can add it in.

You can set it to end after a certain number of times, on a specific date, or you can create a set and have it extend later if you want to keep it going. New cards land in whichever list you pick, with due dates set automatically.

And you manage everything from one dashboard that you access by clicking the Repeating Tasks button in the board header (or under the Power-Up button… depending on how your board is set up).

You can see all your repeating tasks in one place, edit a whole series of cards at once, or delete a series if you don’t need it anymore. If you change the schedule, existing upcoming cards update to the new dates. Your checklists, comments, members, and attachments stay exactly where they were.

It’s also private and simple. Your repeating tasks live on your board. The Power-Up asks for permission once so it can create cards, and that’s it. I’m not storing your card data anywhere, I just have some fancy scripts that take what you put in the form and create the Trello cards for you in your board.

💡 Inspiration and ideas

I featured this a long time ago but I know we’ve got a lot of new subscribers and it’s moving season for a lot of folks so wanted to share my Moving Board Template!

• Custom board backgrounds, brought to me by ChatGPT 😂

  • Although I use Claude for just about everything ChatGPT still does a better job of creating images. I like to describe my Trello board and ask it to create a background for me!

    

• Here’s what the board looks like:

• Each list is a type of project or activity associated with moving. I think the worst part of moving is that it’s not one big project… it’s like a hundred projects. I’m rending out my condo, so that involves some house projects and prepping the condo, making an LLC, getting rid of SO MANY THINGS, etc. Not to mention figuring out a campground to be at, moving our addresses over, and figuring out how to orchestrate everything being where it needs to be when it needs to be there since we’re moving 17 hours away!

  • Embedded Google sheet with expenses for condo rentals, this was useful in helping me determine if I should rent or sell, and i was able to plug in numbers to my Google Sheet without ever leaving my Trello board. (But I realized I could also use Colorful Budgets Power-Up for tracking expenses if I wanted to do that.)

• While I primarily am organizing myself in this board, there are some other boards for ancillary activities that I didn’t want to clutter in here. I’ll explain more about this “All Our Things” board below.

• The first list is a reference list because how much time do we all spend searching for the new address, our storage, our movers, and everything else!?

• I’ve also been really loving collapsed lists for when sections aren’t relevant to help me feel less overwhelmed with all that’s on my plate. One thing at a time. 😮‍💨

So this is a peek into how it looks and works and my REAL boards, but I wanted to make something that you all could actually copy and use, so I re-created the planning board with custom tasks in each list so you can copy the board and it’s a true template rather than just a series of lists with titles and you still have to generate the cards.

This took me a bit of time to do and is one of my templates that I’m most proud of you, so if you’d like a copy of it, it’s available for my premium subscribers!

If you use Trello to collect or track any kind of information, you’ve probably hit this wall. Maybe you’re running a print shop, managing orders, coordinating projects, or planning a trip. Your cards kind of work, but they’re not consistent. The info is scattered, half the fields are filled out and half aren’t, and the whole thing feels messy.

That’s exactly the problem Amazing Fields solves.

It doesn’t matter what industry you’re in or what you’re tracking. Amazing Fields turns your Trello cards into actual structured forms, so your team fills things out the same way every single time and you always know where to find what you’re looking for. That’s the real line between Trello’s native custom fields and Amazing Fields. You go from a scattering of identical input boxes to structured, styled information that feels like part of a process.

What a card actually looks like

Here’s a card with Amazing Fields set up. Instead of one big text blob in the description, you’ve got real fields. Customer name, order details, status, delivery date. It feels like filling out an actual form.

I’ve also got tab groups to keep things organized, so the basic order info lives on one tab and the fulfillment details live on another. And I can use advanced field visibility so I only see certain fields when they’re actually relevant. It stays clean and easy to scan, and your team always knows what to fill in because the fields are right there in front of them.

Filling it out is just as smooth. Click a field, type your info, tab to the next one. It genuinely feels like a form, not a card with a bunch of custom fields thrown on top that all look identical. Honestly, that’s my biggest frustration with Trello’s native custom fields. They’re only sorta custom.

And it works on mobile too. Amazing Fields has a custom field sync, so the fields still show up on the mobile card view. When you fill them out on your phone, it updates the Amazing Field back on desktop.

Setting it up

Setup is really straightforward. You’ve got a ton of field types to pick from: text, dropdowns, dates, checkboxes, numbers, phone numbers, you name it. You add what you need, tweak the styles and options, give it a label, and it shows up on your card.

For an order board, I added a few like:

1. A customer email field

2. A dropdown for order status

3. An order link field

4. A rating field

You also get full control over layout and sizing, plus field colors based on what’s inside them. So if I want customer name and order link sitting side by side, I just adjust the width, drag the order around, and they line up. The conditional styling is where it gets useful. You can make a field turn red when it’s empty, which is huge for making sure nothing gets skipped.

Controlling who sees what

You get complete control over who sees and edits each field. Maybe your fulfillment team needs the internal notes field, but your client-facing team doesn’t. You can set that per field. Same goes for edit permissions. It keeps things clean and stops accidental edits before they happen.

The advanced stuff

Here’s where it gets really cool.

You can set up calculated fields. So if I’ve got a quantity field and a price field, I can create a total field that multiplies them automatically. No mental math, no typos.

You can also reference cards from other boards. On my orders board, I can pull in the linked customer card directly, so all the customer info is right there without jumping between boards.

And when you want to see everything together, you can pull it all into a table view to see every card and every field in one place. I actually prefer this to Trello’s native table view because Trello’s view omits all your custom fields. With Amazing Fields table view, you can filter by status, sort by date, and export it. So if someone needs a spreadsheet of your open orders, you’ve got it in two clicks.

Are your trello cards organized?

If you’re doing any kind of data collection in Trello, this is the tool. Here’s template I made in the video so you can grab it and get started. There are paid plans, but the free tier is really generous, so there’s no reason not to try it.

So a few weeks ago I sent a newsletter asking you all to do me a favor. I asked for some quotes that I can use to share how I’ve helped folks with Trello! I set up a Fillout form, told you it would populate a Trello board, and hinted that something cool was coming. Well. Something cool is here!

I built a Wall of Love page. And I want to walk you through exactly how I did it, because it was super easy and it’s a great way to take cards that live in your Trello boards and display them in beautiful designs for others to view!

Let’s jump in!

The Setup: A Form That Feeds a Trello Board

The first piece was getting the quotes. I used a form (I went with Fillout because they integrate with Trello and I didn’t need to build an automation that sends form submissions to Trello). I asked people to share their name, their quote, and a few other details.

The key step was connecting that form to Trello. Which was super easy with Fillout, but if you’ve got a Zapier/Make/n8n account, this connection is pretty easy to set up. If you don’t have any of those, use Blue Cat Forms, which is a Trello Power-Up that makes the form URL to create Trello cards from submissions.

So at this point, I’ve got a Trello board that’s just... filling up with quotes from real people. Which was already kind of amazing to look at!

Note - the only part I’ve yet to solve is that Fillout doesn’t have a way to map to the attachments, so im manually copying the image from the description and adding as an attachment on Trello. It’s fine for now because I am not getting enough volume that this in unmangeable, but if you have a ton of data coming through and images/attachments are important, you’ll want to use Zapier or handle this via native Trello automation!

The Magic: Shareables

Here’s where it gets fun.

I tried out Shareables a bit ago, and this was the first use case I thought of, although they’ve got tons of other use cases for displaying data from your Trello boards. Ie, you could use it for display products, feature requests, events… literally anything that you have in your Trello boards that you might want to show in a way for others to view instead of interact with.

You pick a template, connect your board, and it pulls your card data into a beautiful layout that anyone can visit, no Trello account required.

For the Wall of Love, I picked a testimonial-style template and mapped the card fields to the right spots. Super simple, and maybe took me five minutes.

Here’s the step-by-step of how I set it up:

Step 1: Sign up for Shareables then choose your template.

Shareables has a bunch of templates. For a Wall of Love, you want something that displays quotes or testimonials in a grid or card layout. Pick what fits your vibe.

Step 2: Map your card fields.

This is where you tell Shareables which part of your Trello card is the name, which is the quote, etc. If your form was set up cleanly, this part is almost automatic.

Step 3: Customize the look.

Colors, fonts, your logo. You can make it match your brand without touching a single line of code.

Step 5: Publish

Hit publish. Shareables gives you a link, or a script/iframe where you can embed it in your existing website.

Every time a new card gets added to the Trello board (which happens automatically when someone fills out the form), it shows up on the page. The whole thing updates itself!

The Result

I’m so happy with how it turned out. It’s one of those things where I built it, looked at it, and thought “why didn’t I do this sooner?”

I love the translation feature… i literally clicked one toggle and now theres a dropdown that will translate the content with Google Translate, making it super easy for non-English speakers to still engage with my page!

Anyways, felt like a workflow everyone could find a way to use, so I thought I’d share. There’s also a fun Shareables Facebook group where the founder asks about features to add and shares some exciting product updates if you want to keep posted on everything there.

🎉 You can now preview checklists without opening a card

This one’s small but it’s going to save you so much back-and-forth.

Trello added a new way to peek at your checklist items right from the card front. No opening the card, no loading the full view. You just click the checklist progress bar and the items pop up right there. Check something off. Click again to close it. Done.

If you’ve ever found yourself opening a card just to see what was left on a list, or to check one thing off before closing it again, this is for you. It sounds like a tiny thing. It doesn’t feel tiny when you’re actually moving through a board.

Pro tip: this works great if you use checklists as quick task lists inside a bigger project card. You can keep the board view and still act on items without breaking your flow.

I need your help building a Wall of Trello Love 🧱

As part of some rebrand updates I’ve been working on, I’m putting together something I’m calling the Wall of Trello Love. Basically, a collection of quotes from people who’ve found my content helpful.

✔️ Chrome extension update: bye-bye strikethrough

Premium subscriber Dee Beck asked whether there was a way to hide the strikethrough styling that Trello applies to completed checklist items. It always crossed out the text when you checked something off, which some people find distracting or just visually annoying.

So I added it to my Chrome Extension for collapsing checklists!

You can now toggle that strikethrough off in my Chrome extension. The item gets marked complete, but the text stays clean and readable.

Think about what you’re actually tracking and all the little attributes for them.

• A sales pipeline? You probably want contact info, deal value, etc.

• A content calendar? Priority, channel, publish date (not always the same as due date!)

• A trip planner? Costs, activity type, etc

The point is, most real workflows have data that doesn’t fit neatly into a card name and some notes.

That’s what Amazing Fields helps with, and it’s one of the few Power-Ups that I think most people should use, regardless of your workflow.

It’s a Power-Up that lets you add structured data directly to your Trello cards. Dropdowns, progress bars, date fields, checkboxes, URL fields, phone fields that auto-format and let you click to call. There are 30 field types total, from simple text to some pretty advanced options.

But wait, don’t Custom Fields do that?

Kind of. Trello’s native Custom Fields are genuinely useful. Automations can reference them, they show up on mobile, and they’re built right into the platform.

The difference with Amazing Fields is the presentation and control. We’re talking all sorts of field types and styles, color-coded dropdowns with conditional backgrounds, and field-level visibility rules. It looks like a real, designed form, not just raw data tacked onto a card.

But you don’t have to pick one or the other. I used to say that if you wanted automation, go with native, but if you wanted style, go with Amazing Fields. But they have an amazing feature for syncing custom and Amazing Fields so you get the best of both worlds.

Amazing Fields connects directly to native custom fields. So you keep all the automation and mobile benefits of Trello’s built-in fields, and still get the styling and editing experience in the browser and desktop app.

The recent update is what got me excited again.

The team is updating the interface, so if you haven’t checked it out in a while, now’s the time!

Check out this preview pane that lets you make changes to a field in the editor and see how it looks without leaving the editor!

The table view also got a big upgrade. You can now filter, sort, group cards by list, and edit field values inline, right in the table. CSV export is in there too, which is handy for pulling data into a spreadsheet for reporting or sharing.

They have a really generous free plan, so there’s honestly no reason not to add it to your boards.

I’m currently doing a full cross-country RV trip. Like, a real one. We’re talking months on the road, bouncing from Knoxville to Lexington to St. Louis to South Dakota to Montana to Seattle to Portland to the PCH to SoCal to Utah to Denver to Louisiana and ending up at Tybee Island for Thanksgiving.

Yes, that’s quite a list.

And yes, I’m planning the whole thing in Trello. Obviously. 🤩

I want to show you exactly how I set this up, because honestly it’s one of the most useful things I’ve built in Trello in a while and I really couldn’t find any other tool that would do the same thing and give me what I need.

Btw, I think it translates to any big trip, not just “My house was too big so I got rid of it and bought an RV” adventures.

Let’s jump in.

The board structure

Here’s what the lists on my board look like:

Route is the spine of the whole thing. Every destination gets a card, has a target date, and lists who I’m seeing there. Portland, Oregon? That’s Sammi, July 12. NorCal is Misha, Matt, Allison, Katrina and Chieu, Jason and Lenae (yes, it’s a whole reunion). Phoenix/Tucson has Nonna, Heather, and King Bob. Seeing my people at every stop is the whole point.

Reaching Out for Comps / Figuring Out is where destinations get planned before they’re locked in. I’m still working out Montana and the Seattle area. Some of these I’m reaching out to campgrounds directly to see if I can get a comped stay in exchange for content. (That’s a whole other thing. Only had one taker on this so far, but we’ll see if I get some more!)

Booked is exactly what it sounds like. Confirmed stays, in order. That list getting longer feels really good, but I’m trying to find the right balance of planning too far ahead vs giving myself some flexibility.

Receipts is where I dump reservation confirmations. Full details: dates, site numbers, cancellation policies, costs. So when I’m standing at a campground gate at 7pm trying to remember my reservation number, I just open Trello.

[city] To Do are my location-specific to-do lists. Coffee shops I want to hit (there’s a place called Fable Hallow here in Knoxville, it’s a book and coffee shop, obviously I’m going), plus camper stuff I need to handle before we hit the road again. Fix the trim. Replace a screen. I’ve got family in Knoxville who can help me with this stuff so I’m knocking out all sorts of things. I also want to remember to pick up some Ale8 while I’m in Lexington and bring to my friend in St. Loius!

Notes is the catch-all. My aunt sent me a long, incredibly detailed message about Custer State Park vs. Badlands and the best sites to book. That whole thing is in a card now so I can look at that when I’m in camping planner mode and not have to dig through texts.

The things that make this actually work

I could have just made a Google Doc with a list of cities. But what Trello gives me that a doc doesn’t is the “movement”, as well as the views for what I need.

Status + Tasks

Cards move through the pipeline as things get figured out. A destination starts in “Route” as an idea. It moves to “Reaching Out” when I’m working on it. It lands in “Booked” when it’s confirmed. That visual progression makes a six-month trip feel manageable, and helps my brain quickly sort what has been done and what’s still needed to do and if I’m on track.

Plus, it’s super helpful for zooming in and having everything I need for a specific spot, or zooming out and seeing how everything comes together and flow into each other.

Anyone who’s ever planned a trip knows the struggle of trying to track all the minutea of a specific activity/loding/transport, but also being able to confirm the overall structure is feasible and makes sense. It’s all fun and games to know exactly what you’re doing on a given day but if you didnt realize you set yourself up for a 9pm dinner and a 3am bus ride, you will regret it 😂

Calendar

Due dates on the Route list also pull into my calendar automatically. So I’m not mentally holding the whole itinerary. I just... look at what’s coming up.

Pro tip: I’m using due dates to mark target arrival dates on the Route cards, not hard deadlines. That distinction matters for a trip like this. If something shifts, I update the card, and it’s really easy to do this in the Calendar/Timeline views so I can see how everything comes together and what else needs to be adjusted.

Map

Okay this is the coolest and I have no idea how I would have done this in any other project management tool (ahem, Jira? can you do this?? actually… there’s probably some app for it that does if I dig through enough and configure enough settings lol)

Because Trello cards can have a location property, you can view them plotted on Map View. This is part of Trello’s Premium plan but if you are using locations on your cards, it’s well worth the money.

So thanks to Trello views, I can google between:

• visualizing my Route

• viewing my Schedule

• logistics and tasks

What kind of Trello boards do you have that you’d want to embed that information somewhere else? Job listings? Products? Testimonials? Something else?

Now let’s talk about this underrated use case.

There are probably a hundred tiny things that annoy you each week. And what’s funny is if I asked, you might not even be able to list them, but you know it when this happens.

They’re not incredibly painful and… definitely not emergencies, but they’re a little annoying each time they happen. Kinda like papercuts.

• You go to turn on your smart TV, and for some reason, the app you use 99% of the time is at the end of the list, and you always have to scroll to find it.

• There’s a cabinet door that's hung sideways, and it's a little annoying to close.

• You trip over something because you haven’t found a better place to put it.

We never fix those things because, in the moment, it feels like more work than just being annoyed.

But I’ve decided I’m going to make Trello help me stop getting these papercuts. 😂

I’m not forcing myself to fix one when I’m annoyed, but instead, when I notice one I’m collecting it in Trello. Just capturing it quickly to my inbox, and then moving it to my “Papercuts” list as I clean out my inbox.

Next, I’ve got an automation that every Saturday, it will grab one random card from the list, and add it to my “On Deck” list.

And then I can actually plan to solve one of those papercut problems and knock it out, at a time when I plan to solve it, and not when I’m annoyed by it!

The funny part is, these are really small tasks. I haven’t had any that take me more than five minutes to actually fix. And once I fix it, it’s infinitely better and I can’t believe I suffered with it for so long.

Is Trello dying? (Spoiler: probably not.)

We went deep on Trello’s future. The short version: Trello isn’t going away, but it’s not going to dominate anyone’s roadmap either. The “personal management” rebrand that caused so much hand-wringing over the past year? Quietly shelved. Nobody at Atlassian is saying it anymore, and Trello users have simply gone back to using it exactly as they always did. The rebrand wasn’t a total loss, though. It gave the tiny Trello team the internal justification they needed to rewrite legacy code and overhaul the UI. Silver lining!

What’s actually new: bulk card actions got an upgrade, and you can now turn Loom action items directly into Trello tasks. Small wins and we will take them 🎉

AI is coming for your Trello board (in a good way)

I gave a live demo of something genuinely exciting: using the Claude desktop app with a Trello MCP to run a daily standup, update cards, and build checklists. Last week you might have read about how I’m using Trello in Claude Code, but this week it got a LOT more user friendly. No code terminal required anymore!

The vision: you just talk to your tools, and the boards manage themselves.

Why does Trello exist when we have Jira?

This debate got spicy. The Jira loyalists pushed hard — “team-managed projects cover it!” — but I shut it down with a simple live example: my 8-month camper road trip, planned entirely in Trello with board, map, and timeline views all in one place. Nobody’s spinning up a Jira project for that. Point, Trello. ✅

I’ve been using Claude Code (Anthropic’s AI tool that runs in your terminal) to talk to my Trello boards. Like, actually talk to them. Ask them questions. Get summaries. Have it build new boards for me based on conversations we’ve had.

And before you click away because I said “terminal”, stick with me. I promise this is way less scary than it sounds.

Wait, what is Claude Code?

First things first, because the name is a little misleading. Claude Code is called “code” but you don’t actually have to write any code to use it. You chat with it in plain English. It just happens to run in a terminal window instead of a browser.

Think of it like texting a really smart assistant who can see your files, connect to your tools, and actually do things, not just tell you how to do them or return a cute image of a studio ghibli themed cat.

How I’ve been using it with Trello

I didn’t sit down and plan out a bunch of use cases. I literally just started talking to it about what I wanted to do, and it figured out the rest. That’s kind of the beauty of it.

🔍 “Hey Claude, what’s on my board?”

The first thing I did was just ask it to read one of my boards and give me a summary. And it did! It pulled in all my lists and cards and gave me a nice overview of where things stood.

But here’s where it gets really cool — I could then just keep chatting. I asked things like:

• “Where’s that card about the podcast episode?”

• “What’s the next thing I should be working on?”

• “Which cards haven’t been touched in a while?”

It’s like having a conversation with your Trello board. Instead of scrolling through lists and squinting at cards trying to remember where you put something, you just ask.

📋 Annual review? Let Claude help.

This one’s my favorite. I asked Claude to look at my board from last year — the one where I tracked everything I was working on throughout the year — and summarize what I actually accomplished.

It pulled everything together, gave me a nice recap, and then I asked it to cross-reference that with my annual review and planning board. From there, we had a back-and-forth conversation about what worked, what didn’t, and what I want to focus on for the upcoming year.

If you’ve ever sat down to write your annual review and stared at a blank page trying to remember what you did in March… this is the answer. Your Trello board already has the data. You just need something to help you make sense of it all. Claude did that for me.

🛠️ Plan it, then build it.

After we talked through my goals and plans for the year, I didn’t stop there. I asked Claude to create a Trello board that matched the structure we came up with.

And it did.

It set up the board, created the lists, added cards, all based on the conversation we’d just had. I went from “hmm, I think I want to focus on these things” to having an actual, organized Trello board ready to go.

I’m going to be totally honest with you, i actually since abandoned that board because i had an existential crisis and totally rewrote what i was going to do and wanted to opt for something even simpler than what I had planned with claude, and it felt easier to draw it out. But it was easy because of all the back and forth I’d already done to see how I wanted things and I still ended up all set up in about an hour.

🧠 It learns how to work with Trello (so you don’t have to teach it)

One of the coolest things about Claude Code is that it uses something called “skills” — which are basically little instruction sets it creates for itself. When I first asked it to interact with my Trello board, it looked for existing ways to connect (like MCP servers), figured out how to use them, and then saved that knowledge so it could do it again faster next time.

Trello doesn’t have an official MCP but claude found ones people have made for Trello, like this one, and I’ve just been able to plug into those.

(I literally asked Claude to explain to you how we do this)

I didn’t have to configure anything complicated. I just told it what I wanted to do, and it figured out the how. It’s kind of like telling a new coworker “hey, can you pull up my Trello board and tell me what’s going on?” and they just… do it. The hardest part was finding my Trello API key, but you don’t have to worry about that because I’ve got a handy video for you

“But I’m not technical…”

I want to be really clear about this because I know my audience. Many of you are not developers. You’re project managers, small business owners, creators, people who just love Trello and want to get more out of it.

You do not need to know how to code to use Claude Code.

Yes, it runs in a terminal. Yes, the name has “code” in it. But the actual experience is just typing sentences and having a conversation. If you can type a message in Slack or write an email, you can use Claude Code.

The terminal is just where the conversation happens. That’s it. No semicolons required. 😂

If you’ve been curious about AI tools but felt like they were too techy or too far removed from your actual workflow — this is the one to try. Because it meets you exactly where you already are: in Trello.

Want to try it yourself?

Here’s the quick version of getting started:

1. Install Claude Code — head to Anthropic’s site and follow the setup (it takes just a couple minutes, and you’ll need to get an Anthropic API Key but there’s lots of documentation on how to set it up!)

2. Connect it to Trello — Claude Code can find and set up a Trello MCP server for you. You’ll just need your Trello API key and token (you can generate these from the Trello Power-Up admin portal)

3. Start talking — seriously, just tell it what you want. “Read my board.” “Summarize my tasks.” “Create a board for my Q2 goals.” It’ll take it from there.

I’ll probably do a video walkthrough of this soon because I think seeing it in action makes it click. Stay tuned for that!

Many people want to use Trello for organizing tasks but often a task has a lot of pieces to it with multiple collaborators.

You can use checklist items to do this, but they’re kinda limited and you miss out on some functionality that you would get if you made cards for each subtask. Because of that I usually suggest people use cards and link to those cards as the checklist items.

In fact, I’ve got a lot of content around syncing cards and checklist items, but I discovered something really cool recently that Placker does to take this to the next level.

If you have Placker added to your board, you’ll automatically get this amazing feature that takes cards linked as checklist items and updates the checklist item member and due date to the info from the card.

Here’s what I mean:

Do you see what happened there? It was fast so let me break it down.

I started with a card that had a due date and was assigned to me.

When i copy the link to that card and add it to a checklist in the “main project” card, Placker automatically sets the due date of the checklist item to the same date as that card and the checklist assignee to the card member!

I didn’t have to set up automation or anything… I just created a Placker account and added that board to Placker. There’s lot of other cool features you should know about Placker, like advanced card mirroring, reporting, gantt charts, etc but this alone is a powerful feature if you use checklist items.

Pro tip: use Trello automation to automatically created linked cards on a main card. One way to do this is by creating a custom field that you set on a “subtask” card with the value of the main project. Ie, project is “Operation Blog Rehaul” and subtask card “Make a plan” has a custom field called Project which is set with “Operation Blog Rehaul” so you know it’s tied to that project. Then use this automation to automatically create a linked card as that subtask:

I met another Trello enthusiast this week who is also making cool stuff for Trello. He wanted to access his Trello boards from a sidebar without having to open Trello, so he built an extension that does exactly this.

Any word on when the mobile Trello app will receive a significant overhaul so it mimics the desktop/browser version more closely? I’m specifically interested in creating and using automations like “snooze” and the ability to copy a specific checklist from one card to another. Board updates also don’t seem to register as fast on mobile as they do on my computer.

I manage all my client work & personal to do lists through Trello, and the more I use the mobile app it the more I find it restricting.

I see the trello mobile app getting some love these days, but I don’t see it getting the overhauls you’re looking for.

When I’ve chatted with the Trello team this year, they’ve been very clear that they’re focused on optimizing for the inbox and planner and making these “trello for personal productivity” the goal for all optimizations.

So honestly, I doubt there will be anything to come of Trello automation or checklist enhancements on mobile anytime soon.

What I would recommend is building and using the automations on trello in the desktop, and then you can reference them in your mobile app. For instance, you can build a “snooze” button automation on desktop, and that snooze button will appear on mobile. For instance, you can see on my meal planning board, the cards have the automation buttons, and when I click them it runs the automation actions. I just built the automation from my desktop.

Similarly with checklist items, you could create a card button for adding a specific checklist to your card, based on the button, and that automation would reference a specific checklist.

As far as the syncing and real time updates, I think there might be some hope here - I’ve seen several folks report about performance/slowness on the mobile app in the Atlassian Community, so I do think they’re aware of it. Though I don’t know of any immediate plans they have for addressing it, I do think if they want to be a personal productivity app, making mobile fast and smooth is going to be a requirement.

I explored Kakashi to see how it stacks up to Trello. While I don’t exactly see it as a replacement for Trello, I do think it has some benefits and can be great for users who want a simple kanban board.

It’s easy to jump into and you’ll recognize a lot of the style and settings from Trello. My favorite features are:

• natural language automation (type the automation you want and it builds it)

• quick capture notepad (drop a list of meeting notes or a brain dump and with a click it creates your cards!)

• and yes it’s free!

PixieBrix is a low code browser extension for extending the apps you use every day to improve productivity. You can change the way Trello looks to add buttons (or remove them!) and perform actions like updating cards, or sending card information to other tools with a click.
